PRIMARY FUNCTION/RESPONSIBILTY
This position provides administrative support for the Intake and Placement Department. The position interacts with all SJRC/Belong departments and programs, Belong Network Providers, community leaders and resources and the Texas Department of Family Protective Services. This position is primarily remote but will require travel to in-person meetings.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Performs data entry into IMPACT and other electronic programs and systems.
- Supports administrative needs of Director and Supervisor.
- Supports administrative needs of Data Compliance.
- Must be able to work within Excel spreadsheets and prepare statistical reports.
- Promotes and demonstrates cultural competence, cultural sensitivity and cultural humility among coworkers and all work-related contacts.
- Types meeting minutes, correspondence, forms, and other documents to support the work of departments.
- Communicates regularly with Intake Supervisor and Director to help monitor staff compliance and training deficiencies.
- Communicates regularly with various internal departments, external providers, community leaders and resources, DFPS and other SSCCs.
- Tracks and reports placement referrals.
- Provides reports to Directors as needed.
- Helps maintain Intake SharePoint
- Schedules room reservations and coordinates room reservation calendars as well as set up future meeting invites for departmental meetings.
- Answers and screens telephone inquiries; takes and routes messages and records intake information for referral to Intake Specialist, Supervisor, and Director.
- Promotes and demonstrates appropriate respect for cultural diversity among coworkers and all work-related contacts.
- Travel is only required for in-person meetings but will be notified in advance.
- Performs other duties as assigned and required to maintain department operations.
QUALIFICATIONS
Required:
- Associates degree in business management, or related field.
- 2 years of related experience in administration or support role.
Preferred:
- Bachelor’s degree in business management, or related field.
- Knowledge of Microsoft Office Software with proficiency in Excel, PPT, TEAMs and other virtualplatforms.
- Knowledge of CareMatch, IMPACT, and Texas Provider Gateway (TPG).
- Must be a team player.
- Must have excellent verbal and written communication skills.
- Must model the organization’s mission, vision, and core values with a Trauma Informed Care approach.
- Valid Texas Driver’s License, good driving record, ability to provide own transportation and proof of current automobile insurance.
PHYSICAL/MENTAL REQUIREMENTS AND INFORMATION
- As this position is remote, stable internet connection is also needed.
- Must have the ability to communicate both verbally and in writing.
- Must have the ability to give and receive verbal and written instructions (with or without hearing aids).
- Must have the ability to read fine print, have sustained vision, and peripheral vision (with or without glasses).
- Environment requires dexterity to remain calm and adapt to fast paced and emotional environments consisting of children with moderate to severe emotional and psychological needs.
- Campuses are smoke-free, except on permitted campuses in designated areas.
