Job Summary: The AP/AR/HR Administrative Specialist is responsible for computing, classifying, and recording financial transactions related to Accounts Payable and Accounts Receivable to ensure the financial records of the organization are accurate. They will also perform routine financial calculations and general administrative duties throughout the monthly/quarterly/annual accounting cycles, including setting up new vendors and customers. The AP/AR/HR Administrative Specialist will report directly to the Controller.
Essential Responsibilities:
•Operates computers programmed with accounting software to record, store, and analyze information.
•Checks figures, postings and documents for correct entry, mathematical accuracy, and proper coding.
•Receives, records and banks cash, checks and vouchers.
•Complies with federal, state and company policies, procedures, and regulations, to include 1099’s and sales taxes.
•Takes full responsibility of payroll runs, including 940 and 941 filings as well as other deductions or additions to employees are paid correctly.
•Compiles financial, accounting or auditing reports and tables pertaining to such matters as cash receipts, expenditures, accounts payable and receivable.
•Reconciles or notes and reports discrepancies found in records.
•Closes the monthly books related to AP and AR, including accruals working with the Controller.
•Works closely with Purchasing, Sales, and other Departments to accomplish tasks.
•Works closely with the Production Departments on payroll.
•Serves as a backup to light HR tasks and liaison for outsourced HR tasks
•All other tasks as assigned.
Skills and Qualifications:
•Must have knowledge and experience working in AP, AR, Administration and General Accounting functions.
•Must have knowledge and experience working with ERP Accounting software and Microsoft Office products.
•Has a general understanding of manufacturing and the terminology used.
•Team focused and the ability to decipher large amounts of data and condense into reportable and understandable outcomes.
•The ability to be a part of a team supporting coworkers with knowledge and limiting disclosure of confidential information.
Education
- HS Diploma OR GED
- Associates degree or higher in accounting or business-related field preferred.
