Position Overview:
The Accounting Specialist will be responsible for managing the day-to-day accounting operations, focusing on Accounts Payable (AP) and Accounts Receivable (AR) functions. The role requires strong proficiency in QuickBooks and Excel for managing financial data, reconciling accounts, and generating reports. The ideal candidate will be detail-oriented, able to handle high volumes of transactions, and have experience working in a fast-paced environment. Remote flexibility two days per week.
Responsibilities:
- Accounts Payable (AP):
- Process invoices, purchase orders, and expense reports, ensuring timely and accurate entry into QuickBooks.
- Verify the accuracy of vendor bills and ensure proper coding to the general ledger.
- Reconcile vendor statements and handle discrepancies or payment issues.
- Prepare and process electronic transfers and payments, ensuring compliance with payment terms.
- Assist with 1099 reporting and vendor setup in compliance with company policies.
- Accounts Receivable (AR):
- Generate customer invoices and ensure timely billing in accordance with contract terms.
- Record incoming payments, applying them accurately to customer accounts in QuickBooks.
- Monitor and follow up on outstanding invoices, managing the collections process to reduce overdue accounts.
- Prepare and send statements to customers, handling inquiries related to billing and payments.
- Reconcile AR accounts monthly, identifying and resolving any discrepancies.
- General Ledger & Account Reconciliation:
- Maintain accurate and up-to-date records of financial transactions in QuickBooks.
- Perform daily, weekly, and monthly reconciliations of bank accounts, credit card statements, and other general ledger accounts.
- Assist with month-end and year-end close processes, ensuring the timely completion of all reconciliations.
- Financial Reporting:
- Use Excel to create and manage spreadsheets, perform data analysis, and generate financial reports.
- Prepare reports on accounts payable, accounts receivable, and cash flow, providing insights to management.
- Assist in preparing financial statements and supporting documentation for audits.
- Administrative & Support Functions:
- Support the Accounting Manager with various tasks, including data entry, filing, and maintaining organized financial records.
- Assist with payroll processing and related journal entries, as needed.
- Ensure compliance with company policies and procedures related to accounting functions.
