About the Job
The Accounts Receivable Specialist reports to the Accounts Receivable Manager and plays a crucial role in the finance department, overseeing the accounts receivable function to ensure accurate processing of customer invoices, timely collection of outstanding receivables, and maintenance of customer accounts. This position requires a detail-oriented individual with strong analytical skills and the ability to manage multiple tasks efficiently.
Requirements
Invoice Processing and Management:
- Assist the Billing Team to ensure all invoices comply with company policies and customer requirements.
- Monitor and manage the accounts receivable aging report, focusing on reducing past due balances.
Collections:
- Proactively follow up with customers on outstanding invoices through phone calls, emails, and other communication methods.
- Resolve billing discrepancies and disputes in a timely and professional manner.
- Negotiate payment plans and terms with customers when necessary.
Account Reconciliation:
- Perform regular reconciliations of customer accounts to ensure accuracy.
- Apply customer payments to their accounts, ensuring correct allocation.
- Investigate and resolve payment discrepancies and misapplied payments.
Reporting and Credit Analysis:
- Assist in assessing creditworthiness/TOA count of new and existing customers.
- Review and monitor customer accounts receivable balances recommending adjustments as needed.
- Prepare regular reports on accounts receivable status, collections performance, and aging analysis.
- Conduct periodic analysis to identify trends, potential risks, and areas for improvement.
- Provide insights and recommendations to improve cash flow and reduce bad debt.
Policy and Procedure Compliance:
- Ensure adherence to company policies, accounting standards, and regulatory requirements.
- Participate in internal and external audits as required.
Collaboration/Communication/Leadership:
- Work closely with the sales, customer service, and finance teams to resolve customer issues and improve processes.
- Communicate effectively with customers to build and maintain positive relationships.
- Serve as a point of escalation for complex accounts receivable issues.
- Rapport with clients and influence pay habits of customers
- Willingness to take on extra work
Required Skills, Abilities, Education and Experience
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
- Minimum of 2 years of experience in accounts receivable or related finance roles.
- Experience with credit management and collections preferred.
- Strong knowledge of accounts receivable processes and best practices.
- Proficiency in accounting software and ERP systems (e.g., NetSuite and Power Bi).
- Excellent analytical, problem-solving, and decision-making skills.
- Effective communication and interpersonal skills.
- Strong organizational and time management abilities.
- Attention to detail and accuracy.

- In-office with flexibility to work from home with manager approval.
