PRIMARY PURPOSE:Facilitate the effective operation of the Department of School Leadership and provide secretarial services to the Chief of Schools
QUALIFICATIONS:
MinimumEducation:
High School Diploma or GED Certificate
Educational SecretaryIII Paraprofessional Certificate (Preferred)
Special Knowledge/Skills
Excellent word processing, databaseskills and filemaintenance Effectiveorganizational, communication and interpersonal skills Abilityto work well under pressure
Abilityto work simultaneouslyon several projects Excellent proofreadingand writingskills Knowledgeof budgets and accountingprinciples Knowledgeofgeneral officeequipment
Abilitytolearn/useDistrictsoftwaresystemsandoperatecomputer/peripheralsusinga varietyof applications
Bilingual(Spanish) aplus but not required
MinimumExperience:
Fiveyears clerical/secretarial experienceor otherequivalent experienceorbackground.
MAJOR RESPONSIBILITIES AND DUTIES:
- Perform secretarial duties for the Chiefof Schools
- Preparecorrespondence, requisitions,andreports,includingbutnotlimitedtodataandinformation fordistrict personnel, patrons, and public
- GatherandpreparedataandinformationforDistrictpersonnel,patrons,andpublic,aswellas assistingtheChiefof Schoolsin preparingpresentations
- Maintain records of department budget and perform accounting tasks following established district guidelines including, but not limited to, those related to budget, requisitions, purchase orders, work orders, and department’stravel arrangements.
- Enteron-lineworkorderrequests,electronicmail,andpurchaseordersasdirectedbytheChiefof Schools
- Prepare Board agendaitemsas directed bythe Chief ofSchools
- Organizeinformation and materials necessaryfor variousmeetings
- AssistincompilinginformationforpreparingvariousreportsfortheAcademicServicesDepartment required byStateand otheragencies.
- Promotegoodwillandeffectivepublicrelationswhilemaintainingconfidentialityandloyaltyto supervisorand to theschool district
- Securelocations and necessarydata andequipment forofficeand district-wide meetings, including notification ofinvolved persons
- Receiveincoming calls,takereliablemessages,scheduleappointments,andmaintaincalendarsfor theChiefof Schools
- Monitor, process and submit personnel payroll reports as required
- Handle incomingand outgoingmail fortheChiefof Schools
- Maintaininformationofandcomplywithstate,districtandschoolpoliciesorregulationsconcerning primaryjob functions
- Attend district meetingsand compile minutes as needed
