About the Job
We are a small, four (4)-member administrative support team. We support approximately 100 professional and paraprofessional staff in over 20 different tax types and charitable gaming related programs.
This position is the first point of contact for the Anchorage Tax Division, including phone calls, directing, and assisting visitors, logging visitors with access badges, and performing various administrative tasks to ensure organization and smooth workflow in the office.
What You Will Be Doing
Perform and monitor administrative activities and taxpayer inquiries, ensuring compliance with administrative procedures, rules, regulations, and statutes.
Primary contact for general administrative duties such as reception, mail processing, conference room scheduling, basic office equipment upkeep, facility maintenance, and procurement requests.
Process daily deposits via remote access and coordinate with Juneau's Accounting & Collections section.
Responsible for preparing setup and assisting supervisors and employees with employee movement requirements.
As an administrative team member, monitor the administrative group email and perform research for what is needed to accomplish the task or for routing it to the appropriate person.
Assist the Administrative Officer in monitoring expenditures and processing receipts, ensuring costs are coded and tracked correctly. This includes travel planning, authorization, and reconciliation for the Tax Division.
Assist the Administrative Officer with the development of office procedures.
The Working Environment You Can Expect
This position is located on the 5th floor of the Atwood Building. It serves as the front desk contact for the Tax Division in Anchorage, with frequent record keeping (and other duties). Presence in the office is required.

- Considerable knowledge of administrative functions such as personnel, purchasing and inventory, accounts payable/receivable, and financial monitoring.
- Strong interpersonal skills with the ability to establish and maintain cooperative working relationships and communicate effectively, orally and in writing, with a wide range of staff and public contacts.
- Ability to assess needs and situations accurately and take prompt and appropriate action.
- Experience with Microsoft Office Suite (Word, Excel, Power of BI, Teams, and Outlook).
- Ability to determine the need to revise procedures and instructions and to draft changes.
- Ability to work independently, multitask, and prioritize projects to meet deadlines.
- Strong work ethic and positive attitude.
