About the Job
Administrative Assistant for Greater Cleveland Development works alongside the Greater Cleveland Director of Development, Greater Cleveland Director of Corporate Relations, Director of Donor Relations and Operations Manager in a highly responsible administrative and resource development capacity. THE POSITION REQUIRES A HIGH DEGREE OF INITIATIVE, ATTENTION TO DETAIL, FLEXIBILITY, FOLLOW THROUGH AND ORGANIZATIONAL SKILLS, along with professionalism and fund-raising insight in the non-profit arena. This requires the ability to perform independently the management and execution of assigned projects; the ability to lead and direct others in the organization to complete tasks; as well as the ability to understand and consider the implications of various communications and how they relate to the Development department in an integrated operation of Planned Giving, Corporate Relations, Public Relations, and Foundations.
Responsibilities:
• Create and maintain systems for tracking and managing data related to fundraising
• Maintain accurate and up-to-date records on major donors, corporate donors, and prospects on development caseloads as well as constituent management efforts in the donor database
• Organize and manage office systems (filing, mail, supplies, and information); including creating and maintaining individual and corporate donor-related files.
• Data input for Director of Development contacts and notes, including cultivation and solicitation efforts into donor database, updating information in a database record, as needed.
• Work with development staff on securing donor appointments, calendar scheduling, expenses, and monitoring of budget, as needed
• Establish a separate database/tracking spreadsheet for Advisory Board gift donations, volunteer time, corporate volunteer groups, gift in kind, and special events
• Research for prospective and current caseload donors, seeking network connections, wealth, property, gifts to other agencies, universities, hospitals, etc., and political support.
• Maintain resources for donor communications such as news reports, internal publications, stories, etc.
• Prepare and process reports and analysis from the donor database
• Provide administrative support for Greater Cleveland fundraising and events
• Assist Manager of Operations with special events i.e., Christmas sign-ups, Toy Packing, and Toy Distribution, which can include directly working with volunteers, toy pick-ups, warehouse presence, managing phone calls
• Assist with compiling volunteer information and placement of volunteers
• Provide administrative support to advisory board meetings/committees as needed.
• Prepare acknowledgment letters to donors.
• Work with the Corporate Relations Director to maintain and engage young professionals involved in our Echelon Chapter. This includes attendance at offsite Echelon meetings.
• Provide backup and support for the Manager of Operations
• Employee will assist with any reasonable additional duties as requested by the Manager of Operations, DS for GCAS, or Director of Development.
• Bachelor’s degree preferred or equivalent work experience.
SPECIAL SKILLS, CERTIFICATES, LICENSES, REGISTRATIONS:
• Effective interpersonal skills including excellent written and oral communications
• Knowledge of Microsoft Outlook, Word and Excel
• Self-starter requiring minimal supervision
• Demonstrates high levels of discretion
• Strong relationship building skills
• Must be able to occasionally work a flexible schedule for special events and initiatives
• Be able to represent The Salvation Army with the highest professional and ethical standards
• Ability to meet deadlines
• Demonstrated organizational skills
• Ability to lead a team to complete seasonal projects
