Job Title: Administrative Assistant
Job Location: 1300 Underwood, Deer Park, TX 77536
Primary Function:
The Administrative Assistant is responsible for providing clerical support and acting as the administrative point of contact in the fast-paced construction office including supporting department managers, inner office, and field personnel
Duties & Responsibilities
Employee may be called upon to perform any or all the following functions:
- Network access set up and phone updates
- Maintain Mobile Solutions account
- Perform data entry in timekeeping application for weekly payroll
- Assist payroll manager in the weekly processing and review of payroll
- Scan and organize multiple filing systems
- Maintain electronic and paper records, including the updating of contact lists and office policies and procedures
- Manage WEX account
- Sort and distribute mail
- Submit and reconcile expense reports
- Perform data entry and processing of payroll for timely and accurate weekly payments
- Provide support to the Accounting Department as needed
- Other duties as required
Minimum Qualifications / Experience
A minimum of one year of experience in an office setting and a High School Diploma is required. An Associates degree in Business, Accounting, or equivalent field is preferred.
Possess skills in the following areas:
- Demonstrated proficiency with Microsoft Office Suite (Outlook, Word, Excel)
- Demonstrated attention to detail to accurately process and review data entry
- Ability to define problems, collect data, establish facts, and draw valid conclusions
- Proven communication skills, both oral and written, to convey thoughts, ideas, and facts to a diverse group of individuals from senior management to co-workers
- Ability to prioritize and work in a fast-paced environment to meet all deadlines with minimal supervision
Physical Requirements:
- This position requires minimal physical effort.
- Must be able to endure prolonged periods sitting at a desk and working on a computer for a minimum of 8 hours a day
- While performing the duties of this job, the employee will primarily work indoors, with occasional outdoor exposure to year-round weather conditions and noise.
- Must be able and willing to travel overnight for trainings and/or meetings as required (10%)
- Working extended hours, including weekends, may be required periodically.
- May occasionally lift up to 25 pounds at a time.
