The Caleb Brett team provides cargo inspection and analytical assessment to the world's petroleum, mining, minerals and biofuels industries. With solutions based on years of expertise, innovation and advanced analytical capabilities, we help customers optimize return on cargoes and help them resolve difficult technical challenges.
The Administrative Assistant will support the Caleb Brett / Additives business by performing a full range of administrative duties, including Microsoft office, event planning, administrative planning, etc.
Here's What You'll Do On The Job:
- Create & Manage the Purchase Orders
- Filing, mailing, and invoicing
- Reviewing Invoicing in collections phase to ensure payments
- Copying and fax
- Manage inventory of office supplies.
- Manage appointment calendars for department personnel and to arrange travel plans.
- Prepare Expense Reports for the Management Team.
- Expedite, within the Branch, preparation, maintenance, distribution, and control of documentation.
- Assure confidential departmental information and files are maintained in a proper and secure fashion.
- Represent Business Unit in a professional manner at all times
- Prepare monthly reports as requested by the Branch Manager or Regional Vice President, and distribute as needed
Here's What It Takes To Be Successful In This Role:
- • High School Diploma or GED is preferred
- • Prior experience in an administrative position
- • Excellent communication skills, both verbal and written
- • Excellent prioritization, organization, and time management skills
- • Must be detail oriented
- • Ability to work independently in a fast-paced, multi-tasking environment
- • Ability to analyze and solve problem
- Ability to plan, organize, and complete a variety of projects within established standards, objectives, and time frames.
