About the Job
Essential Duties and Responsibilities
Key responsibilities include but are not limited to:
* Schedule, assign, and monitor training courses for Inspector Trainees.
* Organize and track online exams for Inspectors and Trainees.
* Arrange hotel and travel logistics for training sessions and meetings.
* Submit required inspector information for licensing across various jurisdictions.
* Facilitate submissions for Inspector NICET certification.
* Track Continuing Education Credits for Inspector NICET certifications.
* Serve as backup for customer and inspector inquiries.
* Distribute reports to Inspectors and customers as needed.
* Manage billing processes, including sorting completed tickets and invoicing.
* File compliance reports and documentation with appropriate authorities.
* Price work tickets, document closing remarks, and close tickets accordingly.
* Set up new clients and sites, and enter tickets based on customer requests.
* Update customer accounts and frequencies in the CRM system.
* Create purchase orders and manage the distribution of received customer POs.
* Attend necessary meetings and contribute to discussions.
Qualifications
To be successful in this role, candidates must meet the following qualifications:
* High School Diploma or GED is required.
* A minimum of 3 years of administrative experience is required.
* Experience in the construction industry is a plus.
* Proficiency in Microsoft Office Suite (especially Word, Access, and Excel) is essential.
* Familiarity with general office equipment and telephone systems is required.
* Strong customer service skills are essential.
* A positive attitude and professionalism are required.
* Ability to think critically, make informed decisions, and deliver accurate results is necessary.
* Strong interpersonal skills to build positive relationships with staff and management.
* Commitment to integrity and company values is essential.
* Excellent organizational skills and attention to detail are required.
* Ability to manage multiple tasks in a fast-paced environment is necessary.
* Basic business math skills are required.
* Ability to work independently with minimal supervision.
* Collaborative team player with effective communication skills.
