This position will have you showing off your technical expertise in a variety of high-level administrative functions. Key responsibilities will include serving as the primary support staff to the Department Director and Administrative Division Manager of the Department, preparing and coordinating staff reports to the City Council, providing office support and minute-taking, developing and maintaining department policy and procedures, monitoring contract compliance, and assisting with internal employee relations and training. You will also greet visitors, handle incoming Parks & Recreation calls, produce a variety of departmental correspondence items, compile and provide necessary data, field complaints, ensure work is prioritized and timely, maintain and file records and process routine requests for information. DEFINITION
To perform a variety of confidential, complex and highly responsible secretarial administrative duties for department head and other supervisory staff within a department and coordinate departmental office support activities. Perform typing, transcription, reception, administrative detail, liaison, lead direction, record keeping, and file maintenance/management duties.
WORKING CONDITIONS
Work is generally performed in an office setting with frequent interruptions, multiple deadlines, complaints, and peak workload periods. Position may require attendance at night meetings.
PHYSICAL DEMANDS
Work may include prolonged sitting, as well as light to moderate lifting, reaching, stooping, pulling, and pushing. Manual dexterity, clear speech, visual and hearing acuity are also required.
SUPERVISION EXERCISED AND RECEIVED
Supervision and direction received from department head and other supervisory staff. Position may involve providing oversight or lead direction of subordinate clerical positions.
