Administrative Assistant ll Job Summary:
We are seeking a highly organized and proactive Administrative Assistant to support our Chief of Staff and VP of Revenue. This role requires exceptional multitasking abilities, strong attention to detail, and a commitment to providing top-tier administrative support in a fast-paced environment. The ideal candidate will be a self-starter with excellent communication skills and the ability to manage multiple priorities efficiently.
Administrative Assistant ll Responsibilities:
- Administrative Support:
- Provide comprehensive administrative support to the Chief of Staff and VP of revenue, including managing calendars, scheduling meetings, and organizing travel arrangements.
- Support coordination and execution of key projects, tracking deadlines, organizing resources, and providing status updates.
- Prepare and modify documents, reports, and presentations using Microsoft Office Suite.
- Assist in planning and organizing team bonding events, including social gatherings, team-building exercises, and volunteer activities.
- Office Management:
- Manage and maintain office supplies, equipment, and facilities.
- Greet visitors, answer phones, and direct inquiries to the appropriate department or individual.
- Ensure a clean and organized reception area, maintaining a professional and welcoming atmosphere for guests.
- Manage incoming and outgoing mail and packages, including distribution to staff.
- Data Analysis:
- Utilize advanced Excel functions to analyze data, create reports, and generate insights.
- Assist with gathering, organizing and interpreting data to support business decision-making processes.
- Collaborate with team members to develop and implement data-driven solutions and strategies.
Administrative Assistant ll Knowledge & Experience:
- High school diploma or equivalent; Bachelor's degree preferred.
- Proven experience in an administrative support role or similar capacity.
- Proficiency in Microsoft Office Suite, particularly Excel (vlookup, pivot tables, formulas).
- Strong organizational skills and attention to detail.
- Ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Excellent written and verbal communication abilities.
- Analytical mindset with the ability to interpret and present data effectively.
- People oriented with adaptability to different personality types.
- Excellent computer skills.
Schedule: Standard office hours, minimal overtime.
Location: Dallas, TX (In-Office).
