Insurance Administrative Assistant

The Insurance Admin handles a range of administrative tasks related to insurance application processing, including completion, review, verification, and submission to agents for insurance coverage evaluation.

Must Haves:
- 2+ years administrative experience
- Intermediate Excel skill
- Ability to multi-task
- Insurance admin experience
- 215, 220, or 440 License with FL Dept of Financial Services preferred (no Public Adjuster)
The Insurance Admin handles a range of administrative tasks related to insurance application processing, including completion, review, verification, and submission to agents for insurance coverage evaluation.
Essential Duties and Responsibilities:
- Review daily incident reports to assess claim eligibility and enter claims through the Alacrity portal.
- Facilitate claim filing by preparing, copying, scanning, and submitting forms into the appropriate portals.
- Update and maintain Incident Report spreadsheets daily, assessing severity and escalating as necessary.
- Coordinate with Property and Regional Managers to ensure timely submission of documents required for insurance underwriting, incidents, claims, and litigation matters.
- Collaborate with external agencies to collect information needed for underwriting reviews, claim filings, and follow up on claim payments and disbursements.
- Complete, copy, scan, archive, and email Acord and other insurance application forms once verified by the Executive Team.
- Manage insurance policy due dates, notices, conference calls, and other important dates and correspondence in Outlook, providing reminders to the manager.
- Maintain organized physical files and upload documents to the shared drive, labeling them appropriately in Property folders.
- Participate in various ad hoc projects and activities as needed.
- Adapt quickly to changing priorities to meet tight deadlines effectively.
- Ensure strict confidentiality of organizational information.
- Perform other duties as assigned by the direct manager.
