Position Summary:
The Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks. This individual must especially be versed in financial and contract tracking of vendors and suppliers.
Duties/Responsibilities:
• Schedule and coordinate meetings and events. Prepare and distribute agendas, formulate notes/minutes/prepare draft documents for final committee/work group review.
• Serves as a liaison in dealing with both internal and external customers and organization; refers individuals to appropriate department contact. Provides direction and/or assistance in resolving problems, issues and/or complaints.
• Researches, compiles, analyzes and summarizes data for regularly assigned or special projects.
• Compiles, composes edits, produces and distributes a variety of documents
• Coordinates and assists in the preparation and monitoring/tracking budgets. Processes expenditures, purchases, budget transfers and other actions. Develops and analyzes financial reports and maintains selected fiscal records.
• Makes extensive use of technological resources including all desktop office programs and other technologies as required by area of assignment including data entry and retrieval.
• Performs a broad range of general office support functions.
• May be assigned responsibility for training, guiding or reviewing the work of other office support staff or work study and student help.
• Positions in this classification may perform some or all of the responsibilities above and other related duties as assigned.
Skills/Abilities:
• Excellent verbal and written communication skills.
• Distinguished in Microsoft Office Suite.
• Excellent organizational skills and attention to detail.
Education:
Associate Degree with a concentration in related field required. Bachelor’s Degree in related field preferred. Experience may be considered in lieu of educational requirements.
Experience:
Two years previous secretarial experience required. Experience in Information Technology or Finance preferred.
