The Administrative Assistant, in coordination with the Executive Admin, performs a wide range of administrative support for the company and executive team to facilitate the efficient operation of the organization. The ideal candidate will exhibit high standards, excellent communication skills, initiative, and the ability to prioritize daily tasks. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role.
What you'll do
- Assist the CEO and CGO on day-to-day needs: scheduling, meeting preparation, travel arrangements, and expense reports, in coordination with Executive Admin
- Plan and execute office events in coordination with Executive Admin
- Receive and direct visitors, clients, and mail
- Prepare agendas for meetings and record, compile, and distribute minutes of meetings as needed
- Assist in planning and coordinating meetings, conferences, and company-wide events, including logistics, event planning, materials preparation, and follow-up actions in coordination with Executive Admin
- Maintain office supply inventories and snack bar and drinks inventory
- Maintain a clean and tidy office space
- Set up workstations, assemble office equipment for staff, and assist in onboarding new hires
- Handle requests for information and data
- Provide ad-hoc support for the leadership team or other departments as needed

- Able to organize and assemble office equipment and shelving
- Ability to carry 30 lb boxes
Qualifications
- 2+ years of proven experience successfully managing administrative duties listed in job description
- High School Diploma required (Associate’s or Bachelor’s degree preferred)
