We are seeking a detail-oriented and proactive Administrative Assistant to join our team. The Administrative Assistant will be responsible for all day-to-day aspects of office administrative support at our high-pressure service center. This will include providing administrative and project support, coordinating maintenance of the office, and organizing office events. Other responsibilities include working with other teams on tasks such as employee on-boarding and helping interface with IT support and Building Administration.
Highlighted Responsibilities Include
- Assist in the accurate and timely processing of vendor invoices, ensuring all documentation is complete and compliant with company policies
- Verify and reconcile invoice discrepancies and resolve billing issues
- Enter and update invoice data into the accounting system
- Maintain organized and accurate accounts payable records and files
- Communicate with vendors to address inquiries and resolve payment issues
- Assist in the setup and maintenance of vendor accounts
- Provide general administrative support to the construction team as needed
- Assist in the preparation of presentations, reports, and other documentation.
Administrative Travel Support
- Assist with travel planning for office employees, booking travel as needed
- Support expense tracking and submission of expense reports for management team
Recruiting/HR Support
- Support on-boarding and training of new employees
Sales Team Support
- Support Sales Team with handling correspondence, preparing hard copies for proposals, filing documents, etc.
- Assistance in updating presentations, updating branding, etc.
Your profile
Basic Qualifications:
- Associate's Degree desired or equivalent work experience
- 1 to 5 years of experience
- Proficiency with technology and MS-Word, MS-Excel, MS-PowerPoint, Adobe, etc.
- Must be a strong communicator with great attention to detail and positive attitude.
- Willingness to learn new IT tools and processes.
- Interacts positively with clients, official contacts, equipment suppliers, contractors, and office staff, displays professional office business acumen.
- Consistently demonstrates initiative and decisiveness.
- Authorized to work in the United States of America
- Effectively works within diverse, multi-national, and multi-cultural team environment.
