About the Job
Colliers Engineering & Design is seeking a part time Administrative Assistant to work Monday- Friday (6 hours a day) in our Mt. Laurel, NJ office. This position has potential to become full-time in the near future. This Administrative Assistant will work with our Civil/Site Division and will also assist with permitting.
Responsibilities:• Provide reproduction and related tasks (i.e. copying, binding, scanning and collating) for assigned Managers.
• Coordinate and organize meetings and manage calendars.
• Provide general office support including coordination of in-house seminars, management of office supplies and equipment, distribution of mail and correspondence with building management.
• Prepare updates to Client Database.
• Assist assigned Managers with project status updates.
• Communication with agencies, government offices, and client representatives to advance projects.
• Prepare application paperwork and submit application packages to various agencies, boards and committees with jurisdiction over project work.
• Make deliveries as needed.
• Work with Managers to maintain and update project trackers.
• Download and organize client project files.
• Upload deliverables to client websites and databases.
• Prepare application paperwork and submit application packages to various agencies, boards and committees.
• Obtain property owners list, rules and regulations from various agencies, along with requesting any current site plan/subdivision applications and checklists.
• Request and obtain serviceability letters from the utility companies. Complete Load Data Applications along with engineer for connection and load approval.
• Maintain record of pending or completed permits and approvals in Permit Tracking Database and provide regular updates to clients.
• Constant coordination with all agency reviewers to assure application completeness and timely reviews.
Qualifications:
• Proficiency in MS Office 2010 required.
• Ability to multi-task and work effectively within a team.
• Professionalism and effective communication skills a must.
• Prior experience working in a Land Surveying office and/or civil engineering office, a plus.
• Must be able to work in a high-paced environment.
