This position will be the primary person greeting visitors at our front desk and answering phones, processing Accounts Payable, and arranging travel for our employees. This role will be part time, in the office - based in our Tempe, Arizona location.
The successful candidate will be also be responsible for:
- Greeting visitors at the front desk and answering phones for the office
- Processing a high volume of Accounts Payable
- Managing incoming and outgoing mail, including creating shipping labels and handling the packaging / shipping process
- Assisting with meeting and event planning to include handling catering and set up as well as maintaining current lists of restaurants / delivery companies and their menus.
- Restocking kitchen and café supplies daily and ensuring all common areas, such as conferences rooms, are kept clean and organized. Placing orders for standard office and kitchen supplies as requested / anticipated.
- Creating and processing expense reports via Concur and / or COINS
- Cross training in travel arranging and payroll processing
- Providing administrative support to various departments during times of high volume and / or as special projects arise.
Candidates who meet the following criteria may be considered for this position:
- 1-3 years of office administrative experience
- Strong proficiency in Microsoft Office Suite
- Previous experience with a multi-line phone system
- Working knowledge of standard office equipment and mail processes.
- Excellent written and verbal communication skills, as well as strong interpersonal skills
- Strong organizational and time management skills; skilled at multi-tasking and detail oriented
- Demonstrated ability to adapt to changing priorities
- Ability to maintain confidentiality
Candidates with the following background may be given preference:
- Previous experience working in the construction industry
- Bi-lingual English-Spanish
We anticipate this role averaging about 20 hours a week running either a M-TH 8:00 am to 1:00 pm or M-F 8:00 am to 12:00 pm schedule.
