Administrative Assistant to the Chief Operating Officer
OVERVIEW
The Administrative Assistant will support the Chief Operating Officer (COO) in project management, handling administrative tasks, coordinating schedules, and facilitating smooth communication among internal stakeholders. This position requires exceptional organizational skills, a proactive approach to engagement, attention to detail, and the ability to handle sensitive information with discretion.
Cedar Pine has a hybrid in-office work policy, which requires three days per week on-site in Northbrook.
RESPONSIBILITIES
Administrative Support
Provide administrative support to the COO, including calendar management, meeting scheduling, travel arrangements, and expense reconciliation.
Assist in preparing and organizing meeting materials, presentations, and reports.
Handle routine correspondence and communications on behalf of the COO.
Project Support
Support the COO with special projects, research, communications, and other initiatives as assigned.
Break projects into doable tasks and coordinate with the COO on timeframes and goals.
Prepare and distribute documentation to internal teams and key stakeholders.
Monitor project progress and address potential issues with the COO.
Collaborate with internal stakeholders to ensure seamless workflow.
Communication and Coordination
Act as a liaison between the office of the COO and other departments, ensuring effective communication and collaboration.
Facilitate internal and external communication, including responding to inquiries and managing email correspondence.
Assist in coordinating and scheduling meetings.
Document Management
Manage and organize documents, files, and records for the COO.
Ensure proper filing and maintenance of confidential information.
Special Projects
Support the COO with special projects and other initiatives as assigned.
QUALIFICATIONS & SKILLS
Experience as an Administrative or Project Assistant, preferably in a corporate setting.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal skills.
- Ability to handle multiple tasks while prioritizing urgent and high-impact work to meet deadlines.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proficiency in MS Office (Outlook, Word, PowerPoint, and Excel), Windows, and Adobe Pro.
