About the Job
We are seeking a highly organized and tech-savvy Administrative Assistant to support the Senior Vice President (SVP) Controller in our finance department. The ideal candidate will have strong communication skills, a proactive mindset, and the ability to manage multiple tasks in a fast-paced, global environment. This role is essential in ensuring the seamless operation of the finance team and the broader organization.
ROLE RESPONSIBILITIES
Administrative Support: Provide comprehensive administrative support to the SVP Controller, including calendar management, scheduling meetings, and coordinating travel arrangements
Communication: Act as a liaison between the SVP Controller and internal/external stakeholders. Prepare, review, and edit correspondence, reports, and presentations
Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and minutes. Track action items and deadlines, ensuring timely follow-up
Data Management: Maintain and organize financial documents and reports. Utilize data visualization tools to assist in data entry, analysis, and the creation of compelling financial presentations
Project Assistance: Support special projects and initiatives within the finance department, ensuring efficient execution and adherence to timelines
Tech Savviness: Leverage collaboration tools (e.g. Microsoft Teams) and project management software to enhance team communication and productivity
Confidentiality: Handle sensitive information with discretion and maintain confidentiality regarding financial and personnel matters
Office Management: Assist in the coordination of office operations, including supplies management and facility requests
BASIC QUALIFICATIONS
Bachelor’s degree in business administration, finance, or a related field preferred
3+ years of administrative experience, preferably in a finance or corporate environment
Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and familiarity with financial software (e.g., ERP systems)
Strong organizational skills with the ability to prioritize tasks and manage time effectively
Excellent verbal and written communication skills
Ability to work independently and collaboratively within a diverse team
Detail-oriented with a focus on accuracy and quality
Adaptability to changing technologies and a willingness to learn new tools and processes

The salary for this position ranges from $31.99 to $53.31 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company’s policies.
