Position Overview: We are seeking a detail-oriented and experienced Administrative Manager to lead our administrative team. This role requires strong analytical skills, bookkeeping experience, and a solid understanding of financial processes within a multi-location environment. The Administrative Manager will oversee the day-to-day operations of the administrative team, ensuring efficient management of accounts payable, receivable, collections, payroll, compliance with Texas state sales tax regulations, and vendor management.
Key Responsibilities:
- Lead and manage a team of administrative staff members, providing guidance, training, and support to enhance performance and productivity.
- Oversee accounts payable and receivable functions, ensuring accuracy and timely processing of invoices and payments.
- Manage collections processes to ensure timely receipt of payments and address any outstanding accounts.
- Oversee payroll processes, including hours tracking and reporting, to ensure employees are compensated correctly and on time.
- Provide expertise in financing home repair projects and assist customers with financing options where applicable.
- Analyze financial data and prepare reports for management, assisting in budgeting and forecasting.
- Ensure compliance with Texas state sales tax regulations and assist in the preparation of necessary documentation.
- Manage and leverage computer-managed maintenance systems for efficient tracking of service operations and performance.
- Coordinate administrative tasks across multiple locations, fostering communication and collaboration among teams.
- Utilize experience with commercial account billing systems to streamline billing processes for business clients.
- Develop and implement efficient systems and processes to enhance operational effectiveness and team productivity.
- Maintain organized records and files for all financial transactions and employee documentation.
- Provide exceptional written and verbal communication to interact with staff, management, and external partners effectively.
- Travel to various company locations as needed, approximately 10% of the time, to support team operations and conduct training.
- Vendor Management: Oversee and manage relationships with various vendors, including software providers, supply houses, uniform suppliers, and utility companies. Ensure that vendor services are delivered efficiently and cost-effectively, negotiate contracts, and address any issues or discrepancies.
Qualifications:
- Bachelor's degree in Business Administration, Finance, or related field.
- Minimum of 2-3 years of experience in an administrative role, preferably in the plumbing or construction industry.
- Proven track record of developing and implementing efficient systems and processes to streamline operations.
- Proven bookkeeping experience with a strong understanding of accounts payable, accounts receivable, payroll, sales tax regulations, and collections.
- Experience in financing home repair projects and knowledge of associated processes.
- Familiarity with computer-managed maintenance systems and commercial account billing systems.
- Experience in managing vendor relationships and negotiating contracts with software vendors, supply houses, uniform suppliers, and utility companies.
- Excellent analytical skills with the ability to interpret complex financial data.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) and experience with accounting software (e.g., QuickBooks).
- Strong written and verbal communication skills, with the ability to communicate effectively with diverse teams and stakeholders.
- Bilingual in English and Spanish is a plus.
- Strong organizational skills and attention to detail.
