Summary
As the full-time Administrative Manager, you will supervise the Administrative and Operations Assistant in collaboration with the Assistant Operations Manager. You will be responsible for Human Resources and Payroll for a team of 18-20, A/P, Bookkeeping, and overseeing A/R, Billing and Collections.
Our ideal candidate will have well-rounded experience in office administration and leadership, has strong organizational skills, attention to detail, is tech savvy, and enjoys planning and executing employee engagement events.
In this role you will proactively:
* HUMAN RESOURCES: Act as hiring manager, onboarding and offboarding, benefits administration/LOA, employee engagement. Input compensation changes as needed. Staff meeting preparation.
* PAYROLL: Process payroll, track PTO, run monthly payroll reports.
* ACCOUNTS PAYABLE/BOOKKEEPING: Process monthly A/P using QuickBooks Online and multi-vendor payment portals, reconcile credit card statement, collaborate with the outside bookkeeper for monthly closing and verification of accurate P & L statements. Perform periodic audits.
* ACCOUNTS RECEIVABLE: Oversee Admin & Ops Assistant for payment application in QBO and weekly collections log, process weekly deposit.
* BOOKKEEPING: Balance monthly credit card statement. Provide monthly inventory reports to the outside bookkeeper. Update MSP-Ignite monthly P & L statements using Fathom reporting.
* BACK UP: Admin & Ops Assistant as needed for reception, office tidiness, supply orders.
* Bi-monthly shopping for office snacks and other miscellaneous office needs.
To thrive in this role you must have:
* A minimum of two years of experience in Human Resources and Payroll.
* A minimum of two years of experience in Accounts Payable & Receivable.
* A minimum of 6 months of experience Billing and Collections.
* Strong attention to detail and organizational skills.
*Ability to navigate through multiple programs with ease.
Preferred skills
* Experience with Quick books Online
* Experience in the IT field and with Microsoft 365 subscriptions
* Experience using AutoTask
