POSITION SUMMARY
Reports to: Chief Financial Officer
As our Administrative Services Coordinator, you will oversee facilities operations to ensure effectiveness and efficiency including general office maintenance and office supplies. You will also support a various administrative needs of Finance & Administration (F&A) department. The Finance & Administration Department is responsible for the financial and administrative oversight of the organization. Within the Finance and Administration's area of responsibility are Office Administration, Information Technology, Human Resources, and Accounting. The Department is responsible for providing support to all staff and departments in the organization.
Your day in the life as the Administrative Service Coordinator, may include:
- Working closely with CFO on department administrative tasks
- Making sure all office supplies are fully stocked
- Inspect facilities and equipment functionality daily
- Managing incoming/outgoing mail daily
- Providing excellent customer service for all internal colleagues and external vendors
- Being a liaison to other teams across the organization
This position requires four-five days in-office
Your Essential Duties and Responsibilities (include the following, but are not limited to)
- Oversees general office operations and maintenance including keeping the office clean and organized
- Manages purchasing office supplies, essential inventory items, timely maintenance of office equipment and vehicles while staying within budget
- Acts as company administrator of active/inactive contracts, the American Express and the VISA corporate account and other office related services (utilizes, cable, leased equipment, etc.)
- Oversees travel voucher program (airlines/train ticket requests) for staff and clients
- Assists with timely processing of F&A department invoices
- Acts as company contact person coordinating proper security procedures for the office with property management company. Also, acts serves as the lead for DDC's emergency response and preparedness team and is responsible for updating the crisis plan in collaboration with the Communications Department
- Responsible for administering DDC's office desk scheduling system (ROBIN), including training new staff, managing availability of meeting rooms and being the point of contact
- Work closely with F&A team members and the Chief of Staff to provide support for and coordination with various administrative tasks and special projects
- Serves as the liaison with the property management company
- Maintain company vehicle; routine maintenance and upkeep
- Other duties as assigned.
What You Bring: Knowledge, Competencies & Skills
- Minimum two (2) years of office administrative & facilities experience
- Valid driver's license with clean record
- Excellent written and verbal communication skills for interacting with staff, vendors, and property management
- Proficiency in Microsoft office applications, including databases
- Demonstrated ability and commitment to work in a diverse team environment
- Ability to resolve routine problems independently
- Demonstrated ability to provide responsive and quality customer service
- Willingness to work flexible hours if required
