Administrative Services Specialist - City of Oxnard, CA

The City of Oxnard’s Housing Department is seeking an Administrative Services Specialist who is highly motivated and possesses great customer service skills to be part of the team.  

WHAT YOU'LL DO: 

• Provide front desk administrative office support and customer service for community guests and City of Oxnard personnel

• Monitor Department email and answer, refer. transfer incoming phone calls on the Department’s main phone line

• Provide overall program support including providing information to program staff, assisting and/or overseeing special projects and create and maintain physical and electronic documents, files, manuals, and databases

• Perform financial transaction processing including receiving and processing fees, fines or other money

• Perform monthly review and reconciliation of procurement card purchases

• Manage calendar including scheduling appointments, meetings, events, and other items 

• Draft and publish weekly newsletters 

• Update websites and/or social media information

• Prepare the production of press releases, announcements, brochures, events, materials, photographs, newsletters, etc. 

• Collaborate and coordinate with key stakeholders such as residents, businesses, organizations, etc. 

• Other duties as assigned

DISTINGUISHING CHARACTERISTICS:

This classification is distinguished from the Administrative Services Technician, Senior in that it performs paraprofessional work in support of specialized functions, processes complex transactions, handles escalated issues and may serve as a lead worker making assignments and monitoring work.

SUPERVISION EXERCISED / SUPERVISION RECEIVED:

As assigned, incumbents may serve as a lead worker, assigning work and monitoring work completion. Receives general supervision on routine items which are performed according to established standards and procedures and receives specific work instruction regarding non-routine matters and deadlines.
