Job Posting: Administrative Support Senior
Position Overview: We are seeking a detail-oriented and proactive Administrative Support Senior to join our team. This role will provide high-level administrative assistance to the leadership team, ensuring efficient operations and handling a wide range of responsibilities with professionalism.
Key Responsibilities:
Provide comprehensive support to the leadership team with all internal systems, including but not limited to e-mail monitoring (including priority e-mails), signature requests, voicemail, HR platforms, and cell phone services.
Manage general office operations, including maintaining electronic filing systems, record retention, e-mail correspondence, and daily schedule coordination.
Schedule meetings, often involving global participants, utilizing WebEx or similar technologies.
Resolve meeting requests and scheduling conflicts efficiently.
Assist in preparing and developing organization charts, reports, communications, spreadsheets, and PowerPoint presentations.
Coordinate and organize travel plans, including scheduling, creating itineraries, and handling travel expense reports (TER) submissions and reconciliations.
Reconcile all approval requests, both domestic and international, that require VP-level authorization.
Represent the office professionally via phone, e-mail, and in-person interactions, interfacing effectively with employees at all levels.
Maintain the highest level of confidentiality, handling sensitive information with care.
Track and follow up on assignments and requests for information as needed.
Manage facilities coordination, including submitting move requests (MAC), overseeing space utilization, ordering supplies, managing loaner equipment, and overall office operations coordination.
Experience Required:
2-3 years of prior experience providing administrative support.
Experience Preferred:
Experience managing multiple senior executives simultaneously while also handling office management tasks.
Additional Information:
This is a hybrid role. The number of on-site days can be arranged with the manager.
Pay Range: $25-27/hour.

Pay Details: $25.00 to $27.00 per hour
