About the Job
General Function:
Under moderate supervision, the Administrative Support Specialist will follow documentation, policies, and procedures to support client accounts. Key responsibilities include ensuring client products (new and repaired) are properly received, recorded in the system, and shipped on time. This role also involves attending client meetings, providing necessary information, and supporting overall workflow within the team.
Essential Duties & Responsibilities:
The following duties illustrate the range of tasks that may be performed. Additional duties may be assigned as needed.
* Maintain a working knowledge of our systems.
* Execute system transactions, including creating and closing service requests and sales orders, generating pick tickets, and performing equipment warranty look-ups.
* Validate equipment warranty status.
* Assist with organizing and filing associated paperwork.
* Resolve minor customer service issues.
* Provide daily account status updates to Supervisors and Managers.
* Attend client meetings and presentations.
* Communicate with clients as needed, executing tasks as requested.
* Collaborate with team members to manage workflow and ensure smooth operations.
* Monitor service levels to ensure client satisfaction.
* Adhere to all company and department policies, processes, and procedures.
Minimum Knowledge, Skills, and Abilities Required:
* High School Diploma or equivalent.
* Proficiency in Microsoft Office programs (e.g., Excel, Word).
* Fluent in English, both written and verbal communication.
* Ability to respond to changing client needs in a team environment with a positive attitude.
* Strong customer service skills.
