Foley & Lardner LLP’s Milwaukee, Wisconsin office is seeking an enthusiastic and energetic Assistant to join our Estates & Trusts team. The Assistant will provide assistance to multiple attorneys in the daily operation of practicing law by providing high quality, confidential work product for clients. The ideal candidate will possess a professional demeaner, have excellent interpersonal skills, and exceptional organizational, written and verbal communication skills. The ability to be flexible, multi-task, and prioritize is required. The successful candidate will also have impeccable customer service skills, superior computer skills (to include Microsoft Office Suite, Adobe, scanning and maintaining electronic files, etc.), and enjoys meeting, greeting and assisting clients and colleagues.
Responsibilities:- Assist attorneys by providing administrative assistance with a high level of confidentiality through the performance of duties including: client communication, document management and preparation, scheduling, meeting planning and coordination, etc.
- Communicate attorney's instructions to various individuals and furnish and obtain information from other attorneys within the practice area
- Create, organize, and maintain client files; follow-up on pending matters
- Maintain and organize complex physical and electronic files ensuring they are properly scanned, uploaded, and filed in NetDocs
- Ensure the use of uniform filing practices, for example, ensure all documents are named in accordance to firm standards for easy retrieval
- Anticipate attorneys’ needs and prepare necessary documentation in draft for attorney's review, including miscellaneous correspondence
- Interact professionally and promptly with clients, internal, and external parties and respond to questions as necessary
- Perform complex clerical duties relating to specific functions and requirements as set forth within the practice group using the firm standard Microsoft Office Suite programs and other applicable software
- Provide document production services, including styling and formatting of documents, proofing, imaging, including the use of firm provided resources to maximize efficiency
- Enter new client-matter information and submit conflict check(s) through OPEN; prepare engagement letters
- Manage incoming and outgoing mail and email
- Prepare documents and packages for mail, messenger, and overnight delivery; ensure that all attachments, exhibits, and enclosures are intact
- Assist with recording attorney time entry information
- Prepare expense reports and disbursements forms
- Collaborate with and assist other team members from time to time as the need arises
- Other duties as assigned
- High School Diploma or GED required
- Two (2) years of legal assistant experience strongly preferred, and experience with Estates & Trusts desired
