The Development team is made up of a dynamic group of development professionals who together represent expertise in all areas of fundraising.
The Library is currently seeking an organized and creative Assistant Manager to join the Foundations and Government Grants team and play an important administrative role in driving forward NYPL’s ambitious fundraising goals.
We are looking for someone we can count on to:
Own:
- The workflow for the team’s annual fund (general operating) proposals, including mail merges for monthly mailings and data retrieval from our donor database
- The acknowledgment and gift write-up process for annual fund donors
- The coordination of stewardship communications to donors providing annual fund support
Learn:
- More about the work of the Library through in-person and virtual visits and programming
- How to develop writing and other skills involved in donor communications
- From colleagues how to develop complex grant proposals requesting major support for Library initiatives
Improve:
- Team workflows and organizational strategies
Some expectations for this role are that within:
1 month, this person will:
- Become better acquainted with the work of the Library and its supporters
- Write up incoming gifts and draft acknowledgment letters
- Create mail merges for donor solicitations
3 months, this person will:
- Manage proposal mailing queue for annual fund portfolio
- Pull queries and comparative reports from Raisers Edge
- Write an original cover letter requesting support for a Library program
6 months and beyond, this person will:
- Draft short proposals based on interviews with program staff, available data and additional research
- Develop strategy briefings for donor meetings
- Make recommendations for improvements to team workflows
- Feel comfortable engaging in routine donor interactions
Responsibilities
Support team’s $2.3M Annual Fund goal through administrative and data-driven support (60%)
- Manage and track annual donor reporting and proposal submissions
- Conduct mail merges, draft and send gift acknowledgments, cover letters, proposal updates and/or report mailings
- Write up gifts
- Draft and coordinate donor cultivation and stewardship correspondence, including letters, newsletters, and event invitations
- Help draft Annual Fund proposals and other writing projects as required.
Provide administrative support to team (25%)
- Process gifts and draft donor acknowledgments
- Organize and file grant paperwork on a regular basis
- Handle routine telephone and written inquiries from donors and prospects. Assist at Library events as needed.
- Manage Library’s profile on grants management databases
- Prepare and coordinate agendas, and other pertinent items, for meetings and events; take minutes at meetings and share feedback
Manage donor database (15%)
- Serve as team’s Raiser’s Edge (RE) point-of-contact, participate on ad-hoc advisory group, and communicate best practices to rest of team
- Work with Development Service Bureau to ensure annual rollover of proposal data
- Utilize RE to pull mailing lists for further review, export data for review, mail merges, etc.
- Proactively maintain and update donor and proposal information in RE
Required Education, Experience & Skills
Required Education & Certifications
BA/BS degree, preferably in the humanities
Required Experience
- One year of professional or internship experience in administrative-related duties, preferably with some engagement in fundraising
- Knowledge and experience with Raiser’s Edge or other donor database experience, or willingness and interest to engage with donor databases
Required Skills
- Project management: able to stay on top of multiple projects without dropping anything, anticipate obstacles, and identify and involves stakeholders appropriately
- High degree of initiative, organization, and follow-through on both short- and long-term projects.
- Emotional Intelligence, able to communicate effectively and appropriately to all stakeholders, from senior staff to donors.
