The primary responsibility of the Assistant Payroll and Fiscal Manager is to create and perpetuate a culture of excellence, efficiency, and integrity in support of the company’s personnel. Reporting to the Payroll/Fiscal Manager, this role will help organize and manage payroll records, support fiscal tasks and processes, perform invoicing and reconciliations, and provide assistance to our employees, promoting an environment of engagement and commitment that constantly elevates and improves our workforce.
Job Duties Include:
- Representing the Mission, Vision, and Values of AMA Support Services through action and presentation.
- Creating a culture of high professional and ethical standards, where dignity, respect, inclusion, integrity, and compassion are the standard.
- Assisting in payroll preparations, including processing missed punch forms, analyzing reports, handling benefits entries, and answering questions about pay, bonuses, etc.
- Managing petty cash.
- Conducting PEX card training, troubleshooting PEX issues, and answering user questions.
- Installing, maintaining, and troubleshooting all Timeclocks.
- Assisting with categorization and reconciliation of accounts, processing invoices, and ensuring timely payment of bills.
- Assisting with setting up utility accounts, answering questions, and resolving utility issues.
- Supporting administrative technology and database functions, including data entry and generating reports as requested.
- Acting as employee relations liaison to identify and solve payroll problems, promoting employee satisfaction and creating an environment where employees feel supported and appreciated.
- Assuming specific duties of the Payroll/Fiscal as requested or required
Required Education, Licenses and Certifications:
- High School diploma or equivalent plus business management experience
- Associate or bachelor’s degree in a business-related field
Required Skills, Experience and Certification:
- Advanced skills in Excel.
- Meticulous attention to detail.
- Experience with banking, accounting, and accounting software (QuickBooks knowledge is a plus).
- Strong math skills and ability to work with numbers.
- Excellent oral, written, and interpersonal communication skills.
- Excellent time management and customer service skills.
- Ability to negotiate and solve complicated situations.
- Trustworthy and able to maintain confidentiality.
- Ability to multi-task and prioritize.
- General technology proficiency.

Working Conditions:
- Base schedule is Monday through Friday 9:00 am-5:00 pm in the company’s local office
- Hours and weekly schedule are dictated by current tasks and program needs. Evening and weekend hours may be required
- Lifting, stretching and other physical exertion may be required
- Work will take place in a variety of settings, including an office, in the community and in the homes of the people in service. Must be able to travel to and work in these settings without limitation
