About the Job
Helpmates is looking for an experienced admin that is bilingual in Japanese. This is a temp-to-hire position.
Schedule: 10:00 am - 5:00 pmPay Rate: $19 - $23.00 DOE
Job Duties
• Schedule meetings and appointments
• Prepare necessary paperwork requested our staff and managers.
• Organize and maintain expat employee personal records (create
digital files and store/update in our SharePoint as well as hard
copy files).
• Update internal databases (e.g. Expat database))
• Update Emergency Lists periodically
• Make check requests and process invoice
• Order and oversee office supplies and food deliveries for
meetings/training
• Retrieve company and employee data, as requested
• Arrange staff domestic and international travel and
accommodations
• Creating various reports as requested
• Managing incoming/outgoing mails and shipments
• Prepare conference rooms, make reservations, and check
equipment for meetings and training.
• Plan, organize, arrange and schedule meetings and training's in the
office, off-site, and via videoconference (TEAMS)
• Assist our department archive/record retention program
• Answer expats’ employees’ queries as needed.
• Distribute company materials to expat employees (e.g. brochures,
announcements, mails, etc..)
• Additional supporting tasks
• Support/Assist our staff’s daily work (payroll, benefits, tax)
• Provide general support for visitors
Requirements and skills
Requirements and skills
• One to three years of entry level work experience as a Staff
Assistant, Administrative Assistant or similar role
• Able to learn new tasks quickly.
• Knowledge of office and general office work procedures
• Computer literacy (MS Office in particular, SharePoint)
• Familiarity with office equipment (e.g. printers and fax machines)
• Excellent organizational skills
• Team oriented, able to work with others well. Considerate to others
and cooperative.
• Understand Japanese (business) culture
• Strong verbal and written communication skills in both Japanese
and English (able to speak, write and read well in Japanese)
• Professionalism while collaborating with varying managerial levels
• Responsible handling confidential information/documents
• College degree or equivalent
• Aptitude for learning new office software and systems
