Position Overview:
Are you a bilingual professional with a talent for organization and customer service? All United Auto and Priority Auto are looking for a dedicated Office Coordinator to help maintain a productive and well-organized work environment. In this role, you'll handle customer interactions, manage business documents, update information, and support front desk operations—all while delivering exceptional service to our valued customers.
Key Responsibilities (subject but not limited to):
Handling Calls:
Administer phone inquiries for both payments and repairs departments.
Assist with payments, address account-related inquiries, handle complaints, and transfer calls as needed.
Schedule repair appointments, answer car issue questions, provide vehicle status updates, and assist with call translations.
Coordinate Document workflow:
Type, compile, and prepare reports, presentations, and correspondence.
Create and maintain Deal Jackets, ensuring all necessary documentation is included before and after the sale.
Organize and file documents accurately.
Updating Information:
Oversee database systems to keep records current.
Input new data and ensure accessibility for co-workers.
Create tasks and assign jobs to maintain organized operations.
Cashier Duties:
Accept cash or credit payments, issue receipts or refunds, process checks, and maintain accurate transaction records.
Count cash payments and prepare deposit bags.
Customer Service:
Welcome and assist visitors, ensuring a positive experience.
Address customer requests and inquiries promptly and clearly.
Sales Support:
Inform customers about new cars and special offers.
Assist the sales manager at the dealer, guide customers through applications, and handle payments.
Required Skills & Qualifications:
Bilingual Proficiency:
Fluent in both English and [Second Language] (spoken and written).
Office Coordination:
Proven experience in office roles with strong organizational skills.
Ability to multitask effectively and maintain a smooth workflow.
Customer Service:
Excellent interpersonal and communication skills.
Ability to address and resolve customer inquiries and concerns efficiently.
Technical Skills: innovative thinking & solution oriented mindset
Proficiency in Phone and Computer skills with the ability to quickly learn and adapt to new software systems.
Cash Handling:
Experience with cash handling, transactions, and financial record-keeping.
