Tech USA is currently seeking a Bilingual Office Management Associate for a permanent opportunity, to be a part of a dynamic and diverse team, with a international manufacturing client. We are looking for a team oriented, quality minded, and motivated Office Management Associate to join a leader in the manufacturing technology sector in the Cartersville area.
JOB DESCRIPTION
As a member of the Office Management Associate, associate is responsible for providing affairs services to offices and plants area and supporting Korean Expatriates who are dispatched from HQ. The incumbent also administers the meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees.
Previous experience as a Front Office Management associate or Office Administrator would be an advantage. A successful Office Management associate should also have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the Office management associate should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
Responsibilities:
Includes but not limited to:
- Serve as the point person for office management associate duties including: Maintenance, Mailing, Supplies, Equipment, Bills, Errands, Shopping.
- Manages the office work environment and office products for all office and plants: equipment, fixed assets, etc.
- Schedule meetings and appointments.
- As an interpreter, Office management associate is responsible for using his/her knowledge of multiple languages (Korean/English) to help Korean engineers communicate with the persons.
- Organize the office layout and order stationary and equipment.
- Maintain the office condition and arrange necessary repairs.
- Partner with Human Resources Departments to update and maintain office policies as necessary.
- Coordinate with IT team members on all office equipment.
- Ensure that all items are invoiced and paid on time.
- Manage contract and price negotiations with office vendors, service providers and office lease.
- Manage office G&A budget, ensure accurate and timely reporting.
- Assist in the onboarding process for new employees.
- Address employees queries regarding office management issues
- Liaise with facility management vendors, including cleaning, catering and security services.
- Plan in-house or off-site activities, like parties, celebrations and conferences.
Requirements:
- Bilingual Korean and English Skills (Reading / Writing / Speaking)
- Proficient in Microsoft Office.
- Demonstrated problem solving and negotiation skills.
- Demonstrated ability to build and maintain client relationships.
- High School degree; additional qualification will be a plus
- Excellent oral and written communication skills.
- Familiarity with email scheduling tools, like Email Scheduler and Boomerang.
- Strong organizational and planning skills in a fast-paced environment.
- Proven interpersonal, communication, and time management skills.
