Van Metre currently has a Bookkeeper/Administrative Group Assistant position available in the Corporate Accounting and Finance Department!
This position is a hybrid role, reporting to the corporate Fairfax Office 2-3 days per week (with occasional visits to the Broadlands Office).
The Bookkeeper/Administrative Group Assistant is a vital role responsible for ensuring the smooth operation of a busy office, supporting our financial team leadership, and providing support on basic financial tasks. This role will include responsibilities in both bookkeeping and administrative functions.
Financial Responsibilities:
- Assist in preparation and review of various bank reconciliations
- Assist with processing, coding, and preparing Corporate credit card journal entries
- Support with cash receipt transactions and journal entries
- Prepare month end statements with conjunction with the corporate accounting team
- Assist with budget preparation including workpaper preparation and data entry
- Organize support for journal entries and all preliminary calculations necessary
- Support with 1099 preparation and filings
- Process all 1099 and support documentation for tax compliance
- Maintain workpapers for the corporate accounting division, such as rolling forward information or updating queries
- Assist in filing returns or licenses for several divisions, including but not limited to Business Licenses, Personal Property Taxes, etc.
- Support the corporate division with saving back up and organizing support for various workpapers and special projects
- Assist with various data entry projects
- Support as a bookkeeper for the finance/accounting department
- Manage and oversee special projects for Accounting/Finance Department
- Various year-end workpaper preparation for financial audit
Administrative Responsibilities:
- Manage multiple fluctuating calendars by planning and scheduling calls, meetings, and conferences
- Prepare and coordinate documentation, reports, financial data, and handle logistics for meetings
- Track deadlines and meetings; prioritize conflicting needs, handle matters expeditiously, proactively
- Make travel arrangements, prepare expense reports, and purchase orders
- Communicate with executives, investors and vendors with discretion, confidentiality, and timeliness
- Order, stock and organize supplies
- Oversee and maintain general office processes such as the coffee makers
- Support mail process for the Fairfax office, including sending mail/Fed Ex packages to our satellite offices
- Perform other administrative duties as assigned

Requirements:
- 2+ years of experience in an administrative role, preferably in a professional office environment
- Basic accounting experience is preferred
- Proficiency in Microsoft Office Suite
- Experience with DocuSign and SharePoint
- Exceptional attention to detail and commitment to accuracy in all tasks
- Willingness to learn and be flexible with schedule and tasks
- Demonstrated ability to work independently, manage multiple priorities, and meet deadlines
- Ability to thrive in a fast-paced environment and adapt to changing priorities
- Strong organizational skills and aptitude for learning new systems and processes
- Professional demeanor and ability to handle confidential information with discretion

- Salary: $50,000 - $55,000 annually (Pay is commensurate with experience, education, training, and skills)
