Job DescriptionSummary of Position
The Branch Support Specialist for Doka USA will be a key driver of operational excellence, responsible for optimizing material demand, procurement, and stock levels across regional and branch operations. This role is critical for identifying inefficiencies and implementing advanced solutions to streamline processes. As a central figure in commercial innovation, this individual will lead automation and digitization efforts, bridging the gap between front-line operations and HQ's process improvement initiatives.
The Specialist will act as an expert in system support, ensuring data integrity, mastering advanced warehouse management software tools, and improving the commercial workflow. They will spearhead training and development of commercial teams, foster our open feedback culture to capture internal best practices and combine them with elements of LEAN management across the organization.
A leader in both operational and digital transformation, this role will play a crucial part in advancing Doka’s strategic objectives, with direct reporting responsibilities and team expansion planned by 2025. In addition to their technical proficiency, the Branch Support Specialist will be a key partner to regional and branch Operations Managers, ensuring that operational processes align with company standards, enhancing efficiency, and driving a forward-thinking culture in every branch they support.
Responsibilities
- Act as a system expert and provide frontline support to branches, ensuring efficient operations across inventory control, logistics, and procurement processes while maintaining data integrity and system accuracy.
- Stand in for key Operations roles (CSR, Demand Planner, Inventory Controller, Supply Planner) during absences to ensure continuous operational support at the branch level.
- Optimize safety stock settings, material sourcing, and backorder processes, identifying inefficiencies and implementing advanced solutions for streamlined workflows.
- Spearhead training and development initiatives for commercial teams, fostering an open feedback culture to capture internal best practices and apply LEAN management principles.
- Lead automation and digitization efforts, collaborating with HQ and global teams to integrate cutting-edge technologies and drive process improvements.
- Develop and maintain system inventory controls, ensuring data quality and overseeing regular system audits, while resolving any discrepancies promptly.
- Provide expert guidance on inventory counts and demand planning, offering actionable insights and reports for regional and branch managers to enhance operational performance.
- Collaborate with Supply and Demand Planners to monitor upcoming demands and ensure timely availability of materials, contributing to effective procurement strategies.
- Generate, review, and distribute operational and financial reports, such as monthly updates on inventory, labor hours, and material availability, to inform upper management and regional controllers.
- Support monthly financial processes, including invoicing, reconciliation of discrepancies, and material purchase orders, ensuring smooth collaboration with Accounts Payable.
- Serve as a key partner to regional and branch Operations Managers, aligning operational processes with company standards, and fostering a forward-thinking and efficient culture in each branch.
- Regularly travel to branch locations to provide on-site support, workflow optimization, system training, and continuous improvement across all regional operations.
Additional Responsibilities
- Provide temporary coverage for absent Operations staff (CSR, Demand Planner, Inventory Controller, etc.) to maintain continuity in branch operation. (longer-term deployments possible)
- Participate in special projects aimed at process improvement, operational efficiency, and safety compliance. Assist in the preparation of meeting materials (PowerPoints, Town Hall meetings, and other strategic discussions).
- Support Logistics by assisting with transport coordination, booking intercompany trucks, and generating logistics reports as needed through Transportation management software.
- Perform process audits and enforce the Continuous Improvement Process (CIP)
- Assist with system updates, new program rollouts and technology implementations as required.
Qualifications/Technical Proficiency
- High school diploma required; Bachelor’s Degree in Business or Logistics preferred.
- 5 years of Formwork Industry - related experience in administration, operations, or logistics preferred.
- 2-3 years of key user experience with warehouse management (WMS or EWM), supply chain, or material distribution software preferred
- Proven ability to manage projects and effective task prioritization.
- Strong communication skills, including fluency in English (spoken and written); Spanish language skills are strongly preferred.
- Strong analytical skills with a high level of numerical aptitude and technical proficiency.
- Proficient in Microsoft Office, with advanced skills in Excel.
- Experience in conducting local Branch Operations audits.
- Excellent report writing and presentation skills.
- Willingness to learn new systems, products, and techniques.
- Ability to work effectively as part of a team in a fast-paced, results-driven environment.
- Open-minded with an appreciation for diverse cultural backgrounds.
- Flexibility in both time and location to meet the demands of the role.
