Job Title: Business Services Specialist - Spanish Speaking

Salary: Starting at $4,471.00 monthly, plus stipend for Spanish translation and interpretation services
Overview:
Duties and Responsibilities:
- Utilizing a computer Info image system, reviews articles of organization for domestic limited liability companies and applications for admission for foreign limited liability companies in Illinois ensuring documents are completed in compliance with the Illinois Limited Liability Company Act and the Illinois Administrative code; verifies information on computer system against statutes as well as documentation from domestic state for foreign application for admission; verifies that correct fees were submitted; enters information from acceptable documents into appropriate fields on computer screen to update records and for retrieval/ informational purposes; prepares correspondence utilizing computer detailing the corrections needed for compliance with statutes and mails letter and applications to applicant.
- Reviews and processes foreign and domestic annual reports, foreign and domestic articles of amendment, artic of merger, statements of conversion, assumed name applications, domestic articles of dissolution and foreign applications for withdrawal ensuring accuracy and completeness in compliance with the Illinois Limited Liability Company, Limited Partnership and Limited Liability Partnership Acts; verifies information on document against computer records to ensure correctness; verifies fees for correctness; stamps acceptable documents "filed' with date, fee and initials; enters information from document including file number, name, date, registered agent/office, names/addresses of mangers/members, etc. onto mainframe for retrieval and information and checking supplemental documents for compliance; generates letter of acceptance and mails to applicant with copy of info image document; prepares correspondence utilizing computer detailing the corrections needed for compliance with statutes and mails letter and applications to applicant.
- Responds to routine and technical telephone inquiries from the general public and the professional community concerning statutory filing requirements for limited liability companies in Illinois; provides assistance to walk-in customers relative to filing Limited Liability Company, Limited Partnership and Limited Liability Partnership documents.
- Assists the other Business Services sections, as needed, to review, analyze, evaluate, image and process Domestic, Foreign and Not for Profit documents on a limited basis. Assists, as needed, with routine phone duties. Ensure all documents are in compliance with the Business, Limited Liability Company, Not for Profit and UCC Acts prior to processing. May audit, calculate and verify fees relative to documents.
- Performs other duties as required or assigned.
Specific Skills:
- Requires thorough knowledge of accounting principles and procedures, business practices and terminology.
- Requires extensive knowledge of effective means of communications, Business English, grammar, spelling and arithmetic including percentage calculations.
- Requires working knowledge of modern office methods, practices, procedures and equipment, which may be applicable to the work situation.
- Requires working knowledge of approved modern filing systems, workflow, methods and the limits of their utility.
- Requires skill in the use of computer terminals to enter and extract data.
- Requires skill in analyzing tax documents and records to determine liability.
- Requires ability to understand, interpret, apply and explain statutes, regulations, and financial statements; examine tax statements; maintain files and accounting records; ability to make independent decisions based on procedures and statutes; ability to analyze problems and situations and to take necessary corrective action.
- Requires ability to compile and analyze difficult or complex financial and statistical data, and prepare concise, conclusive reports from such information; ability to compose and type detailed correspondence in the course of official duties; ability to maintain an expected workflow while sustaining a high level of accuracy.
- Requires ability to perform difficult accounting calculations and compute fees; ability to handle fast –paced environment; ability to conform to deadlines.
- Requires ability to communicate well with coworkers and to develop and maintain effective working relationships with others; ability to deal with public on phone and in person; ability to express ideas clearly and concisely, both orally and in writing.
- Requires ability to translate and interpret for Spanish speaking customers.
Education and Work Experience:
Requires knowledge, skill and mental development equivalent to the completion of four years of college, preferably with coursework in finance, accounting, economics, taxation, mathematics, pre-law, business administration or a related fields AND two years of progressively responsible professional experience, such as would be gained as a Business Services Representative OR any combination of related education and professional experience in the identified fields may be substituted for the requirement.
