The Executive Assistant provides high-level administrative support and project coordination to the CFO and CRO. The qualified candidate will have significant relevant experience supporting one or more C-level executives and interfacing with a board of directors/corporate officers. The qualified candidate must be detail-oriented, think quickly on their feet with great problem-solving skills and demonstrate composure and professional integrity at all times. The qualified candidate will assist the executive with the completion of special projects and reports, calendar management and scheduling, preparation for and taking notes at meetings, document storage and retrieval, travel logistics and all other administrative support as needed.
Job Duties & Responsibilities:

Perform a complex diversity of administrative and project coordination duties with little or no supervision.

Compose correspondence, research and compile material and reports, word processing, spreadsheet creation and presentation preparation.

Closely support Executive administratively, including confidential communication in meetings, e-mail and telephone calls.

Arrange all travel and itineraries for Executive, and other executives as needed.

Prepare expense reports for the Executive.

Prepare logistics for executive meetings/teleconferences, visitors and consultants on a regular basis.

Manage and coordinate the Executives calendar using Outlook, avoiding potential conflicts and determining alternatives.

Use utmost discretion with the highest level of confidentiality in a professional manner.

Create a welcomed atmosphere, service responsiveness and professionalism to reflect throughout the company.

Handle a high volume of work with accuracy and maintain flexibility and efficiency to deal with changing priorities.

Interact with team members at all levels of the organization, especially at the senior executive level, in a gracious and supportive manner.

Other duties as assigned based on departmental needs.

Skill and Experience Requirements:

Associates degree or higher
-
Experience working with highly confidential information and material.

Must have well-developed communication and interpersonal skills.

Superior skills with MS Office (Excel, Word, Outlook and PowerPoint)

Superior calendar management skills for a C-level executive schedule using Outlook calendar software.

Demonstrate ability to gather information, coordination and effective communication skills.

Is proactive, takes initiative and demonstrates the ability to use good judgment even under pressure.

Strong organizational skills. Demonstrate a commitment to completion of projects on a timely basis. Attention to detail with the ability to multi-task.

Must be flexible, willing to work overtime as needed and respond to changing priorities rapidly.

Must exhibit a professional demeanor when working with all levels of team members, clients, field members, board of directors and investors.

Working Conditions:

The position is hybrid. Candidates must be able to drive into the office 3 days a week. 2 days of the week are remote.
