Primary Purpose:
Assist with the daily operations and provide support for the office. The primary duties will include oversight of all district facility rental activity involving scheduling, approvals, invoicing and accountability.
Qualifications:
Education/Certification:
High school diploma or equivalent
Clerical courses desired
Special Knowledge/Skills:
- Proficiency in technology applications-Microsoft Office and email
- Proficiency in using Microsoft Excel
- Understanding of basic bookkeeping, especially as related to governmental accounting
- Interpersonal skills for communicating with vendors and district personnel
- Strong organization skills
- Ability to work independently; establish priorities; and meet deadlines
- Ability to resolve disputes with vendors and district personnel in a professional manner
- Ability to communicate and follow instructions (verbal and written); read and process financial data and reports, including invoices, purchase orders and financial data
- Ability to work in a fast-paced environment with frequent interruptions
Experience:
Two years’ experience with accounting, data entry, and assisting callers/directing calls to appropriate staff.
Major Responsibilities and Duties:
- Present a positive image that supports the district customer service model when interfacing with employees, parents, and vendors.
- Receive requests and inquiries related to facility rentals.
- Code, requisition, record and route all billing invoices for department and facility rentals.
- Monitor all facility use locations for proper use and adherence to the facility use contract.
- Communicate with renters, when necessary, any facility rental issues and document accordingly any damages or expenses to district facilities as a result of the rental.
- Monitor with limited access the district camera system to check and enforce district mandates as it relates to facility use activities.
- Administer the distribution of keys and access cards to renters, as required.
- Assist district employees and contractors with answering questions pertaining to safety and security and facility rentals.
- Answer incoming calls, take messages, provide basic troubleshooting, route calls to appropriate staff, or handle questions and requests that fall within level of responsibility.

Tools/Equipment Used: Standard office equipment including personal computer and peripherals
Posture: Prolonged sitting, occasional bending/stooping, pushing/pulling, and twisting
Motion: Repetitive hand motions, frequent keyboarding and use of mouse; occasional reaching; frequent districtwide travel.
Lifting: Occasional light lifting and carrying (less than 15 pounds)
Environment: May work prolonged or irregular hours
Mental Demands: Work with frequent interruptions; maintain emotional control under stress.
