Role and Responsibility
The essential roles and responsibilities are outlined below:
- Set up customers and maintain up-to-date records of customers in ERP system.
- Collaborate with sales and operations teams to resolve billing discrepancies and disputes in a timely manner.
- Assist with collections to monitor customer accounts to ensure timely payment of invoices and follow up on overdue accounts.
- Assist with cash applications to obtain remittances and reconcile payments received with invoices issued and ensure accurate posting to customer accounts.
- Participate in internal AR status meetings with sales and operations teams.
- Process monthly customer account balance statements.
- Provide MSS certificates of insurance and maintain COI list for distribution.
- Respond promptly to customer inquiries regarding billing issues, payment terms, and account statements.
- Assist in the preparation of financial reports and analysis related to customer accounts receivable.
- Work closely with the finance team to perform other duties including supporting month-end and year-end closing activities.
- Identify trends, perform root cause analysis, and implement process improvements to enhance efficiency and accuracy in customer accounting operations, eliminating ongoing customer and internal issues that interfere with prompt payment.
- Adhere to company policies and procedures, as well as regulatory requirements, related to customer billing and accounting.
Key Requirements

- Bachelor's degree in Accounting, Finance, Business Administration, or related field.
- Proven experience in customer management, customer accounting, accounts receivable, or related financial role.
- Strong understanding of construction, service or property management principles and practices.
- Proficiency in using Microsoft Office suite including Excel and Outlook.
- Excellent communication and interpersonal skills.
- Ability to prioritize tasks and work efficiently in a fast-paced environment.
- Detail-oriented with a high level of accuracy in data entry and record-keeping.
- Problem-solving skills and ability to resolve conflicts with customers diplomatically.
- Prior experience in a customer-facing role is preferred.
- Familiarity with ERP systems such as Viewpoint Vista is a plus.
