Job Description Summary
Penn Vet's New Bolton Center provides an internationally renowned standard of care. Located on a campus of some 700 acres in Chester County, Pennsylvania, New Bolton Center has one of the largest caseloads of any academic large animal hospital in the nation.
Under the management of the Director of Imaging and Clinical Services, the Clinical Scheduling Manager B/C will provide the highest level of service to our internal and external customers scheduling clinical services for our Surgery, Anesthesia, and Imaging Departments.
Job Description
We are seeking a problem-solving, experienced individual who is organized and possesses excellent communication skills. This position requires clinical knowledge of common procedures in large animal veterinary medicine in order to schedule services as efficiently as possible. This individual will be navigating several services internal in support of external client service requests, requiring the the ability to collect information to assist with short-term and long-term planning. The Clinical Scheduling Manager is empowered to develop this new role aimed to improve efficiency in the hospital, promoting the highest level of patient care. New Bolton Center is located in Kennett Square, PA; this position is on-site. No public transportation is available.
Job Responsibilities
+ Understand details of common large animal clinical procedures in order to produce a weekly/daily schedule requiring anesthesia, surgery, imaging and /or internal medicine. Utilizing staff and faculty in the most efficient manner possible. Ensure positive and effective communication between services in the hospital requiring anesthesia, improving daily workflow.
+ Managing 4 Scheduling Coordinators and 6 OR/Central Supply staff members to include performance management, hiring and staff scheduling.
+ Serve as a liaison between the Scheduling Coordinators attempting to schedule patient services and the services that provide clinical care; prioritizing clinical services by urgency and resolving any conflicts.
+ In collaboration with the Anesthesiologist On Duty and the Operating Room Nurse In Charge, create and review the daily schedule, communicating and adjusting when necessary for emergencies and urgent procedures.
+ Ensure all required patient information is updated, accurate, and available. Review the pre-anesthetic checklist and diagnostics for completion, ensuring cases begin promptly when scheduled.
+ Identify opportunities for continuous system and hospital operational improvements for efficiency across services.
+ Maintain positive working relationships within the organization, approaching conflict resolution in a constructive manner, offering and participating in resolutions.
Qualifications
Manager B
+ Bachelor of Science, Bachelor of Arts, and 2 to 3 years of experience or equivalent combination of education and experience is required.
+ Three to five years of experience in scheduling for large animal veterinary medicine environment is preferred.
+ Experience in maintaining calendars, ability to register patients quickly and correctly; computer knowledge (Microsoft Word, Excel, Outlook, Office 365) is required.
+ Experience working in a fast-paced large animal hospital and knowledge of medical terminology and procedures is required.
+ The candidate must have excellent customer service and communication skills with the ability to maintain a kind and calm demeanor when handling challenging situations in a fast-paced environment.
+ All candidates must have an eye for detail, strong organizational and administrative writing skills.
+ Basic large animal anatomy is required.
Manager C
+ Bachelor of Science, Bachelor of Arts, and 3 to 5 years of experience or equivalent combination of education and experience is required.
+ Bachelor's degree and 5-7 years of experience in clinical scheduling or equivalent combination of education and experience is preferred.
+ Experience in maintaining calendars, ability to register patients quickly and correctly; computer knowledge (Microsoft Word, Excel, Outlook, Office 365) is required.
+ Experience working in a fast-paced large animal hospital and knowledge of medical terminology and procedures is required.
+ The candidate must have excellent customer service and communication skills with the ability to maintain a kind and calm demeanor when handling challenging situations in a fast-paced environment.
