Position Overview:
We are seeking a talented and experienced Construction Project Coordinator to join our team. The successful candidate will play a key role in facilitating the smooth execution of construction projects by coordinating activities, resources, and communication amongst the project team.
We are looking for a full-time Project Coordinator to administer and organize all types of projects, from simple activities to more complex plans. Project Coordinator responsibilities include working closely with our Project Management team to achieve project goals and objectives. You will perform various tasks, like maintaining project documentation, along with administrative duties. To succeed in this role, you will need excellent organization, time management and communication skills, as for collaboration internally with the project team and externally with clients and subcontractors.
Responsibilities:
- Participation in bid day activities by delivering bids, bonds, and waiting for bid results.
- Maintain accurate and complete project documentation in shared drive.
- Set up leads and new projects in Sage, Building Connected and Plan Hub.
- Prepare contracts at both the owner and subcontractor level.
- Serve as a point of contact for project-related inquiries and communication with subcontractors.
- Collaborate with the project management team to resolve problems and optimize project performance.
- Support the project team in coordinating meetings, workshops, and other project-related activities. May include meeting minutes.
- Maintain and improve online project systems and software.
- Assist the accounting manager in collecting lien waivers from subcontractors.
- Manage project-related paperwork by ensuring all necessary materials are current, properly filed and stored (certified payroll reports, prevailing wage affidavits, lien waivers, MWBE reporting, workforce utilization reporting, etc.)
Knowledge, Skills, and Abilities:
- Understanding of general contracting and the life cycle of a project.
- Proven experience as a project coordinator or a similar role.
- Excellent written and verbal communication skills, with the ability to relay highly detailed information between internal and external project partners.
- Proficiency in project management software and tools.
- Detail-oriented approach with demonstrated skills in organizing and evaluating information.
- Motivated and self-directed mindset with the ability to anticipate needs, proactively find solutions, and adapt to changing priorities.
- Proficiency in data entry, project management software, Google suite, Microsoft Office products, Apple devices, and utilizing office machines (copier, mail machine, fax machine).
Qualifications:
- Associate or Bachelor's degree, or equivalent combination of education and experience preferred.
- 2-5 years of experience as a project administrator within the commercial construction industry
