How You Will Make an Impact?
The Customer Service Coordinator will oversee all administrative activity in the Service office. This individual will be key in maintaining accurate administration of the department to achieve revenue and profitability goals.
The Nuts and Bolts
- Process estimates and edit for accuracy. Assist with follow-up of estimates with customer when applicable.
- Process, open, close all service work orders, checking for accuracy customer number, purchase orders, payment terms, labor, materials, and mark-up daily. Return any incomplete quote to the Estimator for corrections before opening.
- Organize and file all Service-related paperwork (quotes, work orders and labor reports).
- Prepare payment requests for contract drivers.
- Maintain an organized and professional environment for the reception of customers and visitors to the service office.
- Process all incoming/ outgoing mail, pre-code all bills with the appropriate account number and forward for approval.
- Research and resolve all billing-related issues, seek the help of the estimator when needed.
- Work with the credit department to establish new customer accounts, ensuring that all the needed information is given.
- Maintain stock of all needed office supplies, within budgeted guidelines.
- Communicate information concerning credit, opportunities or problem situations to appropriate personnel with follow-up to Service Manager.
- Provide administrative support for special projects at the request of the Service Manager.
- Assist in providing a safe environment for all employees by complying with all company and OSHA safety regulations.

Required Credentials
- High School Diploma
- Computer proficiency in Microsoft Office
- Excellent interpersonal and communication skills
- Quality orientation and attention to detail
- Familiarity with standard credit and collection procedures
- Team player with the ability to work well with others
- Sense of urgency and initiative
- Good organizational skills with the ability to handle multiple projects and deadlines
- Ability to work overtime to meet business demands
Preferred Credentials
- 2- or 4-year degree preferred
- Truck/van body knowledge a plus
- Prior JDE system usage a plus
You Must Be Able to
- This job operates in a manufacturing plant environment. Must be able to work in a non-climate-controlled environment. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
