DATABASE SPECIALIST – Position Summary
The Database Specialist is responsible for managing and maintaining the CRM fundraising database, ensuring accurate and timely processing of donor information, gifts, and interactions. This role involves reviewing incoming donations, overseeing gift processing, maintaining constituent records, performing data cleanup and deduplication to ensure data integrity, and tracking and reporting on fundraising metrics. The Database Specialist will work closely with the finance team, develop and implement standard operating procedures (SOPs), and provide training to staff on database management. Additionally, this role will lead the RFP process for a new CRM system, ensuring a smooth migration and implementation, while maintaining the security and confidentiality of donor data.
DATABASE SPECIALIST – Essential Duties & Responsibilities
- Responsible for maintaining the CRM database, ensuring accurate and timely processing of all donor information, gifts, and interactions.
- Reviews all incoming donations (including checks, credit card payments, online donations, and gift-in-kind) and oversees all aspects of gift processing, including data entry, coding, and acknowledgment of gifts.
- Regularly maintains and updates constituent records, including donor information, contact details, and giving history, and performing ongoing data cleanup, deduplication, and data enrichment to ensure database integrity.
- Works closely with the finance team to ensure accurate coding of incoming gifts and smooth reconciliation between fundraising and financial records.
- Creates and maintains online donation pages to facilitate online giving and enhance the donor experience.
- Develops and implements SOPs for gift processing, data entry, and record management. Ensures procedures are documented and updated regularly to reflect best practices.
- Creates training materials and provides cross-training to staff on gift processing and database management to ensure coverage and knowledge sharing.
- Ensures seamless integration of the CRM with other systems and optimizes workflows to enhance efficiency.
- Plays a leadership role in the RFP process, selection, migration, and implementation of a new CRM system expected to occur in the first year, ensuring a smooth transition with minimal disruption to operations.
- Generates and analyzes customized reports and data analysis as requested, to track progress toward fundraising goals and key performance indicators (KPIs). Provides insights to inform fundraising strategy and decision-making.
- Ensures the security and confidentiality of donor data, adhering to best practices and legal requirements. Maintains compliance with data privacy laws and regulations, ensuring secure and ethical handling of donor data.
- Stays informed about industry best practices and emerging technologies to drive continuous improvement in database management.
DATABASE SPECIALIST – Qualifications/Experience
- Bachelor's degree in a related field, such as nonprofit management, business administration, or data management (or equivalent experience). Equivalent experience and training may substitute for education.
- 3-5 years of relevant experience in database management and gift processing within a nonprofit or fundraising environment.
- Proficiency with CRM platforms (e.g., Salsa, Salesforce, etc.) and gift processing software.
- A passion for data, data analysis, and data-informed decision making.
- Strong attention to detail, with the ability to ensure data accuracy and integrity in a fast-paced environment.
- Strong analytical and problem-solving skills.
- Proficient in Microsoft Office, including Outlook, SharePoint, Teams, and Excel.
- Knowledge of data protection regulations and best practices for maintaining the security and confidentiality of donor information.
- Maintain a professional demeanor, manage sensitive and confidential information with integrity, and possess a keen sense of purpose or connection to the mission of Blue Ridge Hospice.
- Excellent verbal and written communication skills.
- Demonstrated ability to work collaboratively in a team environment and provide training to staff on database management and gift processing procedures.
- Occasional travel may be required.
- Must be a licensed driver with an automobile that is insured in accordance with state or organization requirements and is in good working order. Must be willing to travel the entire service area.
