Job Summary:
The Documentation Analyst is responsible for overseeing and managing the creation, review, maintenance, and distribution of documents within the organization. This includes analyzing and improving documentation processes, ensuring compliance with standards, and collaborating with different teams to ensure all documentation is accurate, consistent, and easily accessible.
Key Responsibilities:
Document Management:
Develop, manage, and maintain document templates and standards.
Organize and maintain document databases or content management systems (CMS).
Ensure that all documents are correctly formatted, stored, and filed for easy access.
Document Creation & Editing:
Draft, edit, and format various types of documentation including user guides, technical manuals, process workflows, policies, and procedures.
Collaborate with subject matter experts (SMEs) to ensure accuracy and completeness of information.
Analysis & Quality Control:
Review and analyze existing documentation for accuracy, clarity, and compliance with regulatory and organizational standards.
Ensure that all documentation follows the organization’s style and branding guidelines.
Identify gaps or areas of improvement in existing documentation.
Version Control & Compliance:
Track document versions and revisions, ensuring the most current versions are in use.
Ensure compliance with internal and external standards and regulations.
Training & Support:
Provide training to staff on document management systems and processes.
Serve as a point of contact for document-related inquiries.
Collaboration & Communication:
Collaborate with various departments such as IT, legal, operations, and HR to gather necessary information and ensure accurate documentation.
Communicate changes or updates to documentation clearly and efficiently across relevant teams.
Qualifications:
Education:
Bachelor’s degree in Communications, English, Technical Writing, Business Administration, Information Management, or a related field.
Experience:
2-5 years of experience in document management, technical writing, or a similar role.
Familiarity with document management systems (e.g., SharePoint, Confluence, or similar).
Skills:
Strong attention to detail and organizational skills.
Excellent written and verbal communication skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Adobe Acrobat, and document management tools.
Ability to work both independently and collaboratively with cross-functional teams.
Basic understanding of regulatory requirements and standards (e.g., ISO, GDPR, SOX).
