The Donor Relations Coordinator works to provide stewardship and essential services to Straz Center donors in support of the Development department's fundraising goals and strategies. The position handles concierge ticketing and reservation services for donors at $1,000+ levels, responds to inbound inquiries and requests regarding gifts and annual donor benefits, and completes administrative tasks supporting the department's needs. The position works collaboratively with both the Development and Ticket Sales teams to ensure consistent, well-executed stewardship and services for donors.
Essential Duties:
Ticketing
- Handles ticket sales, exchanges, and dining reservations for annual donors who give $1,000+; coordinates with Ticket Sales Office management team to ensure superlative service during donor presales.
- Manages season ticket renewals for qualified donors, including receipt of gift when required as part of renewal process.
- Documents and manages annual season ticket seat upgrade requests and assists with fulfillment.
- Handles other ticketing requests as required for luxury box holders, sponsors, prospects, guests, or other VIPs.
- Responsible for managing incoming calls on multiple extensions and a dedicated email in-box for customer service requests.
Gift Receipt and Benefit Fulfillment
- Receives and documents new and renewing gifts by phone; escalates calls to gift officers for gifts of $2,500 and above.
- Documents donor contacts related to gifts in CRM.
- Provides information on qualified leads to gift officers.
- Answers questions by phone and email regarding annual donor benefits; handles inbound requests from current annual donors for replacement or supplemental benefit materials.
- Uses discretion to determine best course of action for trouble-shooting donor-related issues and escalate situations to an executive level as needed.
Stewardship
- Responds courteously, accurately, and in a timely fashion to all requests and inquiries via email and phone.
- Places thank you calls to donors following receipt of gift.
- Assists with scheduling of donor lounge; sends notifications as necessary to donors regarding lounge closures.
- Assists with the execution of donor stewardship events and activities.
- Serves as a Straz ambassador in the donor lounge during performances.
General/Administrative
- Performs clean-up on donor records; contacts donors with unsubscribed emails or returned mail to update contact information on file.
- Prepares reports tracking donor attendance and use of on-site benefits (parking, donor lounge) at performances.
- Processes acknowledgement letters for ticket donations.
- Maintains accurate records and documentation of all correspondence with donors.
- Participates in generating lists for mailings and events.
- Assist with guest data management for fundraising events or other special event projects.
Secondary Duties:
- Contributes to overall team effort in planning and development and shares in the decision-making process, implementing and promoting all decisions in a spirit of cooperation.
- Assists in departmental functions and special events and performs other duties when necessary to assure the overall smooth operation of the department.

Minimum Qualifications (Knowledge, Skills, and Abilities):
- Able to engage with a wide range of people, build rapport and exhibit courtesy, tact, and professionalism.
- Able to work independently and as a member of a team, multitask and adapt to changes in a fast-paced environment.
- Preferred prior experience with fundraising CRMs and/or ticketing software (Tessitura).
- Proficient with Microsoft Office suite.
- Fundamental understanding of fundraising concepts preferred.
- Able to work flexible hours including nights and weekends.
- Able to communicate effectively in English, verbal and written.
Education and Work Experience:
- Bachelor's degree or any equivalent combination of training and experience.
- One to two years' experience in fundraising, ticket sales, or other customer service focused role.
