EXECUTIVE LEGAL ASSISTANT
Under the supervision of the Vice President and General Counsel, the candidate will be responsible for providing legal administrative and clerical support in the Corporate Legal Department.
The candidate must have good independent judgment and be able to plan, prioritize, and organize a diversified workload; have exceptional interpersonal and written and verbal communication skills; be highly organized, detail-oriented and efficiently manage time and projects with close attention to deadlines; be effective in stressful situations while maintaining a positive and professional attitude; be able to be proactive and anticipate needs; have flexibility as to working hours; be sensitive to and maintain confidentiality; and be able to effectively communicate with all departments within the company, outside counsel, customers, vendors, insurance carriers and key members of the executive team and senior management.
With the oversight of inhouse counsel, the successful candidate’s responsibilities will include the following:
- Handling/managing personal injury and related litigation files from inception to close; communicating (verbally and in writing) with insurance companies, assigned-outside counsel, principals, etc.; and, collecting/organizing relevant support in response to discovery demands (defense experience a plus)
- Preparing and filing of regulatory/compliance annual reports and licensing; and, responding to miscellaneous related Subpoenas, Wage Garnishments, etc.
- Drafting and finalizing of correspondence for signatures by appropriate parties
- Creating, reviewing, and/or editing charts, forms and other documents
- Filing and file maintenance
- Possessing a positive attitude and mindset with a willingness to pivot as needed to support business and legal teams
- Acting as a gatekeeper in documenting necessary information regarding all requests
- Coordinating with legal department personnel to ensure continuous coverage
- Conducting research via Internet, Westlaw (preferred but not required),
- Managing calendars for attorneys including scheduling appointments, conferences, or meetings
- Arranging for conference rooms, food deliveries and other administrative tasks as needed
- Processing of invoices with proper coding
- Performing general administrative tasks such as answering phones, take detailed messages and/or properly reroute calls; opening/routing of mail; opening/closing of legal department
Qualifications and Skills
- At least 7 years of relevant experience working in an in-house counsel or law firm A bachelor’s or associate degree from an accredited college is a plus.
- Proficiency in Microsoft Office Suite programs [Word, Outlook, Excel, Acrobat, PowerPoint] Bilingual English/Spanish is a plus
Good Faith Estimate of Salary Range: $60,000 - $70,000
