The project coordinator works independently and efficiently to perform a wide range of duties to meet the needs of the Smilow Education and Clinical Practice department supporting multiple team members. Will be required to have a broad based competency and basic knowledge of class management, project management, and performance improvement. The individual must be able to handle assigned tasks with minimal supervision. The ability to change priorities dependent upon organizational need is a necessity.

- 1. 1.Maintains accurate reporting, procurement, and tracking of education and practice programs 1.1Responsible for the coordination, submission, tracking and monitoring of all Smilow Continuing Nursing Education activities, informal educational activities, and oncology certification.1.2Administers class registration, distribution of course materials, summarizes evaluation data, and distributes certificates.1.3Creates and executes on purchase orders and external coordination of needed functions of the program.1.4Serve as institution Administrator for the Oncology Nursing Certification Corporation?s FreeTake program and Oncology Nursing Society?s OnDemand platform. 1.5Produce intermediate financial and other data reports (ex: participation numbers, evaluation summaries, certification numbers, etc) and analyses for presentation to Smilow leadership as requested by Smilow leadership for regular (ex monthly) updates.1.6Responsible for the input, tracking, and monitoring of all Education and Clinical Practice initiatives, inclusive of Patient Education.1.7Provides internal and external ?customer? support in troubleshooting, investigating, and seeking solutions to complex issues related to departmental offerings.1.8Monitors, orders, organizes, and distributes office supplies and class materials to maintain inventory at appropriate levels to ensure availability of necessary materials without over-stocking.1.9Establish vendor relationships in accordance with policy and ensure timely payment to vendors.
- 2. 2.Facilitates projects and makes recommendations to improve practice and education program infrastructure and operations2.1Attend designated project meetings, work on assigned projects, provide support and suggest process improvement tools and techniques as applicable to improve processes.2.2Develop plans including timelines and accountabilities to ensure full preparation and readiness for designated project meetings. Follow up with responsible parties via written and verbal communications to keep plans updated and on schedule.2.3Support designated project teams by completing accurate meeting minutes and action plan/items and drafting proposed agendas for meetings. Assemble and prepare all supportive data, documents and other materials for review and discussion within project team meetings.2.4Capability to fully complete a project from initiation to completion with little supervision. The Project Coordinator will be expected to track their project progress and workload capacity.2.5Coordinates Reward and Recognition activities including event planning, distribution of recognition materials, awards and scholarship application management.2.6Works effectively in a multi-disciplinary team environment to determine the methods by which the required data can be efficiently collected.
- 3. 3.Provides administrative support for the program leader and staff3.1Drafts and/or composes correspondence for review and approval in accordance with established department format. 3.2Utilizes Word, Excel, Powerpoint, Visio, Outlook to provide reports and data as needed to accomplish various projects.3.3Acts as point person for the department answering incoming inquiries promptly and courteously.3.4Maintains department calendar, schedules, meetings and appointments and makes routine travel or conference arrangements.3.5Is responsible for accurate scheduling of education and practice programs for 16 Smilow locations.
EDUCATION
High School Diploma or GED required. Bachelor's degree preferred. Equivalent experience will be considered.
EXPERIENCE
Minimum of 3 years of experience in class administration, project management, or continuous improvement, preferably in healthcare. Experience collaborating with various levels of personnel to assure accuracy of data.
SPECIAL SKILLS
Understanding of Continuing Nursing Education process. Develop and maintain working relationships to collaborate with all hospital and YNHHS personnel. With direction from others, be able to function autonomously to complete multiple tasks with minimal supervision. The ability to change priorities dependent upon organizational need is also a necessity. Ability to conduct analyses in Excel; proficiency in Word and PowerPoint preferred. Must communicate effectively and have a keen attention to detail. Ability to administrate meetings including preparation, facilitation and post-meeting follow-up of action items.
