About the Job
Responsibilities:
- Schedule, manage and execute event logistics.
- Organize merchandise and display new products in the store.
- Create product promotions, coupons and promotional events.
- Update Event Reports on a monthly/weekly/daily basis, as progress and commitments are made.
- Determine weekly meeting schedule and meeting recaps
- Communicate with clients and partners in a professional manner
- Ordering and gathering all event supplies
- Set registration rules/parameters based on experience and past year’s registration data analysis
- Proper bookkeeping for all events
- Provide post event debrief to Executives
- Participate in creative for all events (emails, social posts, videos, production, etc.)
- Able to market and publicize event on website and social
- Able to send out email campaigns/ email blasts to customers regarding events and new deals, coupons etc.…
- Ensure event websites are up-to-date and have correct information (dates, pricing, etc.)
- Create RFPs (request for proposal) to send to potential vendors
- Reserve locations for event for outdoor events
- Coordinate and execute inhouse events
- Coordinate outside vendors
- Ensure compliance with insurance, legal, health and safety obligations
- Connect with potential partners to expand market reach
- Confirm sponsors and sponsorship packages are fully paid and are being executed
- Capable of working well with internal and external teams/partners
- Ability to work under pressure with strict deadlines in a fast-paced, changing environment while maintaining a professional and positive attitude
- Ability to effectively solve problems, think creatively, make decisions and take action, exercising independent judgment
- Strong project management, customer service and relationship building skills
- Strong written and verbal communication, able to deliver clear, concise information tailored to specific and varied audiences
- Ability to effectively communicate in English both verbally and in writing in order carry out internal and external communication pieces. Bi-lingual preferred (Spanish).
- Knowledgeable and capable of posting and social media channels
- Proficiency in all systems used: Word, Excel, PowerPoint, Adobe Professional, Photoshop, Desktop Publishing
- Graphic design creative experience preferred with knowledge use of In-Design or Publisher.
- Ability to work independently in a fast-paced office environment with minimal supervision.
- Strong attention to detail and excellent organization skills.
- Demonstrate excellent professional image and a positive attitude at all times.
- Ability to handle multiple priorities and projects effectively and on a timely basis.
- Ability to ensure confidentiality of clients and resort data at all times.
Qualifications:
- 2 years' experience as a promotion/event coordinator
- Proficient in Windows and MS Office Suite (Outlook, Word, PowerPoint and Excel)
- Professional communication, attitude and appearance
- Must be self-motivated, with ability to follow through on assigned tasks with limited supervision
- Fluent in English
Salary: $15-$18 per hour (Monday - Friday with the Occasional Saturday)
