About the Job
The College of Humanities and Sciences is recruiting for a part-time Events ManagementCoordinator. The events management coordinator is a position in the Officeof the Dean, College of Humanities and Sciences, that provides effectivesupport for College events and special programs, as well as manages event rental space in the new STEMbuilding on the Monroe Park Campus. This position works in collaboration withthe school’s administrators and academic units for student, faculty and staff,alumni, community and donor facing events.
Position Responsibilities:
•Oversee booking of rental space in the new STEM Building
•Use event management system to track reservations
•Work with building manager of STEM building to execute successful building rentals and ensure respect of the rules
•Overall plan and execute college-level events, including large events such as commencement, lectures, and socials
•Help departments/schools within the College book event space
•Develop and maintain timelines for completion of event task
•Formulate plans and execute logistical support, menus, guest registration and speakers
•Track event budgeting
•Work with event vendors for cost estimates and delivery coordination
•Frequent communication with various constituencies about their events
•Manage the planning of multiple events at the same time
•Serve as on-site coordinator at events
•Set out light catering – coffee, cookies, etc.
•Stay onsite, if needed, for events after building hours and/or may need to work occasional nights and weekends
•Write a post-event report to debrief what went right and what can be improved upon
Required Qualifications:
•Experience planning and managing large scale events with multiple events per week
•Excellent communication and interpersonal skills
•Technologically savvy and fluent in G-suite, including Gmail, Google Forms, Sheets, Docs, etc.
•Demonstrated ability to work independently
•Demonstrated flexibility in working with other people with the ability to work in a diverse work environment
•Excellent organizational and project management abilities, with a keen attention to detail and the ability to manage multiple projects simultaneously
•Ability to meet deadlines
Preferred Qualifications:
•Experience in Canva and event software
•Light catering experience – charcuterie boards, coffee and sweets, etc.
•Experience in food safety
