About the Job
Reporting to the Manager of Events, the Events Production Assistant role provides key project support to the Events and Talent Relations team related to operational logistics, planning, and execution, including setup and strike of meetings and events at the Academy Museum, Academy Headquarters, Pickford Center, and Fairbanks Center for Motion Picture Study. You will assist with both internal and client events—serving as a liaison to the internal operating teams (i.e., Facilities, Security, Theater Operations, and Visitor Experience). The position requires a positive customer service attitude, as well as the ability to problem-solve and communicate with internal teams, clients, and vendors.
This position is represented by a union.
Duties and Responsibilities:
- Provide on-site support for general production needs, including pre-and-post events.
- Serve as event team representative during installation and strike, including early morning and late-night shifts, as scheduled.
- Communicate with operating teams via work orders, internal calendar systems, timelines, and Airtable.
- Respond to private event inquiries via email and phone, schedule and lead walkthroughs with vendors and clients.
- Support film programs, screenings, and panels, as needed.
- Track RSVP’s and update guest lists for internal events and openings; work event check-in.
- Assist with parking and valet requests for internal and client events.
- Work on special projects as assigned.
Qualifications and Requirements:
- A high school diploma or equivalent certificate of completion.
- 1+ years of experience in special events, production, catering, and/or hospitality.
- Valid driver's license and reliable mode of transportation.
- A friendly, positive, and professional approach with clients, vendors, and team members.
- A passion for logistics, organization, calendars, timelines, details, and problem-solving.
- Availability to work early mornings, late evenings, and weekends (as scheduled).
- Intermediate proficiency with Microsoft Office Suite and Google Workspace (e.g., calendars, spreadsheets).
- Familiarity with layout, seating, and guest registration software (a plus).

Physical Requirements:
- Ability to move and transport objects weighing up to 30 lbs.

The expected base hourly wage for this role is $20.00. The actual base pay offered will be determined by factors such as experience, skills, training, location, certifications, education, and other factors permitted by law. Decisions will be made on a case-by-case basis.
