Job Overview
We are seeking a highly organized, proactive, quality oriented and self-driven individual to join our team as an Executive Administrative Assistant. This role will provide executive level administrative support to the Harris County Internal Audit Division's Chief Audit Executive (aka Chief Assistant County Auditor), upper management, and support staff. This position is responsible for providing overall administrative support to the Internal Audit Division's Assurance and Advisory Services; Compliance Audit and Fraud, Waste, & Abuse Hotline; and the Data Analytics and Technology Audit departments. The Executive Administrative Assistant assumes an oversight role on behalf of the Chief Audit Executive for daily performance of complex administrative functions, assists with projects, coordinates schedules, and supports the daily operations of the Internal Audit Division. The ideal candidate should have a minimum of three (3) years of solid administrative experience, be detail-oriented, possess strong communication skills, and be comfortable working in a fast-paced environment.
Key Responsibilities:
- Directly support the Chief Audit Executive, including managing schedules, addressing correspondence flow, coordinating training & travel, and ensuring the day-to-day administrative support needs are met.
- Assist the Internal Audit Division with the day-to-day administrative support responsibilities.
- Track and prioritize incoming requests, emails, and other correspondences, highlighting urgent matters and ensuring they are addressed promptly.
- Manage, initiate, and coordinate special projects from inception to completion, both independently and in collaboration with other team members.
- Manage multiple projects simultaneously while maintaining strong attention to detail.
- Compose, proof, and edit reports, presentations, and other correspondence as needed.
- Coordinate and organize internal events, meetings, and training & travel arrangements for the Internal Audit Division.
- Update and maintain spreadsheets.
- Assist with the annual budget preparation and monitor and track expenses throughout the budget year.
- Responsible for all aspects of purchase orders for the division using PeopleSoft/STARS.
- Manages and coordinates office procurement and inventory.
- Maintain confidentiality and act as a liaison between executives and internal/external stakeholders.
- Perform general office duties such as filing, data entry, and managing office supplies.
- Perform other executive level projects and related duties as assigned.

Experience
- Three or more years experience working in an advance administrative support role for an executive

Workplace Type, Working Schedule, Position Type and Work Environment:
- In-Office | Monday - Friday | 40 hrs. per week | Regular Full-Time | Non-Exempt
- Job operates in professional office environment, and the individual in this role uses standard office equipment such as computers, printers, scanners/copiers, and phones.
- Physical requirements for the position are the ability to sit for extended periods of time and the ability to push/pull up to 40 lbs., lift/carry up to 20 lbs., and push and/or pull up to 50 lbs.
- Position's physical demands are 60% sitting, 20% standing, and 20% walking.
- Occasionally, may be required to work more than 40 hours during the work week.
